Job Description - Inspection Scheduler/Administrator

Job Summary:
An inspection scheduler is responsible for coordinating and organizing inspection appointments, ensuring efficient workflows and timely completion of inspections. Key responsibilities include scheduling inspections, communicating with clients and inspectors, managing schedules, and maintaining accurate records.

Duties and Responsibilities:
 
  • Schedule Inspections by coordinating inspection appointments, managing calendars, and optimizing schedules to maximize efficiency.
  • Accurately maintaining inspection schedules, customer information, and other relevant data in databases or other tracking systems.
  • Collaborate with other departments to ensure smooth workflow and timely completion of inspections.
  • Address any issues that may arise during the scheduling or execution of inspections, such as rescheduling due to unforeseen circumstances.
  • Provide excellent customer service throughout the scheduling process, addressing inquiries and concerns promptly and professionally.
  • Manage and update data in various systems (Yardi/MS OFFICE Suite)
  • Contact clients via phone and email to schedule inspections.
  • Assist with special projects related to inspections and related tasks.
  • Follow up on inspection reports and ensure timely delivery to clients.
  • Other administrative duties can be assigned.
Qualifications:
  • Education: A high school diploma or equivalent is required. 
  • Experience: One year of related experience is preferred. Familiarity within affordable housing industry is a plus.
  • Technical Skills: Proficiency in Microsoft Office applications (Excel, Word, Outlook) is required. Experience with Yardi a plus.
Soft Skills:
  • Strong organizational and time management abilities.
  • Excellent customer service skills.
  • Clear and effective oral and written communication skills.
  • Detail-oriented and analytical.
  • Ability to work independently and as part of a team. 
Physical Demands and Work Environment:
  • Frequently required to stand

  • Frequently required to sit
  • Continually required to utilize hand and finger dexterity
  • Continually required to talk or hear
  • Continually utilize visual acuity to operate equipment, read
    technical information, and/or use a keyboard
  • Occasionally/required to lift/push/carry items less than 25 pounds/ up to 25 pounds/ up to 50 pounds/ more than 50 pounds
