Job Description: As an Install Coordinator at Window World, you will be primarily responsible for the logistical coordination and scheduling of all new product installations for our clients. This crucial role ensures a smooth transition from order placement to successful installation, directly impacting customer satisfaction and project efficiency. Key Responsibilities:
Installation Scheduling & Logistics: Coordinate and schedule new product installations efficiently, aligning with customer availability, installer capacity, and job-specific requirements. This includes verifying job specifications, assessing installer skill needs, and considering external factors like weather and material availability. Proactively schedule appointments as early as possible after receiving an order from the manufacturer.
Customer Communication: Proactively communicate with customers regarding their installation appointments, including confirmations, updates, and addressing inquiries.
CRM & Calendar Management: Utilize our in-house CRM system for comprehensive tracking of new orders, scheduling, payments, and all customer interactions. This includes proficiently navigating the calendar, understanding appointment statuses, and managing customer notes and attachments.
Operational Oversight: Actively monitor job progress and address any issues or delays that may arise, implementing solutions to ensure timely completion. Assist with light inventory management and procurement of materials and equipment required for installations when necessary.
Administrative Support: Provide administrative support to the installation/service team, including data entry and active project notation.
Data Integrity & Documentation: Maintain accurate and complete customer records within the CRM, documenting all interactions and ensuring data integrity throughout the installation process. Address indicators on "expected received dates" in the pipelines, as they signify delays in customer orders requiring immediate attention and investigation.
Inter-Departmental Collaboration: Work closely and collaboratively with the Service Coordinator to optimize scheduling, share critical customer information, and ensure seamless hand-offs between installation and any follow-up service needs.
General Customer Support: Address general customer inquiries and direct calls appropriately, serving as a knowledgeable first point of contact when needed.
Qualifications:
- High school diploma or equivalent; further education or training in business administration or a related field is preferred.
- Proven experience (1-2 years) in a coordination or administrative role, ideally within a service-oriented industry.
- Exceptional organizational skills and time management, with the ability to prioritize and manage multiple projects concurrently.
- Excellent verbal and written communication skills, demonstrating a strong customer-focused approach.
- Possesses confidence and quickly adapts to new software and CRM/scheduling systems.
- A meticulous attention to detail and a commitment to accuracy.
- Adaptability, strong problem-solving abilities, and a proactive approach to challenges.
- Ability to work both independently and collaboratively within a team environment.
- Prior knowledge of installation processes, terminology, or industry standards is a plus.
Physical Demands: This is primarily an office-based role, requiring prolonged periods of sitting/standing at a desk and extensive computer use. Occasional light lifting (up to 25 lbs) may be required.
