Job Description - Insurance & Safety Compliance Specialist


Position Summary: We are seeking a highly organized and meticulous Insurance Specialist to join our insurance team. In this role, you will be responsible for obtaining and reviewing certificates of insurance (COI) from customers and vendors to ensure compliance. You will have the skills and knowledge required to interpret insurance documents and plans, operate a computer system database, and work directly with customers, vendors and colleagues. You will process certificates of insurance for customers and vendors in accordance with company policies and objectives and legal requirements. Your time management skills and attention to detail will be instrumental in the efficiency of rental contract and vendor contract set up and will therefore pave the way for a successful business relationship with both our customers and our vendors.
Essential Duties and Responsibilities:
  • Evaluates certificates of insurance by validating legal verbiage and policy information to confirm compliance.
  • Updates database system to reflect current insurance status for both customers and vendors.
  • Evaluates and processes approved credit requests and completes required documentation.
  • Communicates to customers and vendors any required updates when an invalid certificate of insurance is submitted.
  • Communicates directly with customers, vendors, insurance agents and colleagues regarding questions, concerns and status updates.
  • Runs a monthly report of expired or soon-to-expire insurance and completes a mass email to customers and vendors requesting updated insurance documents with our insurance expiration notice process.
  • Manages a consistently changing record of inaccurate contact information on rental contracts and works directly with Sales Representatives to update.
  • Updates vendors contact information according to vendor and branch requests.
  • Attends on-site or in-office insurance training and meetings as required.
  • Assist colleagues as needed with an overview of insurance requirements and how to use insurance codes in the database system.
  • Maintains the certificate of insurance and damage waiver credit process training documentation.
  • Sets up new vendors in the system according to branch requests and communicates with staff regarding set up documents.
  • Maintains the vendor setup training documentation.
  • Proactively manage safety prequals.
  • Manage insurance requests and submittals for new customers through various compliance portals.
Supervisory Responsibilities:
No formal supervisory role. 
Education and Experience Requirements:
  • Bachelors’ Degree is preferred or equivalent insurance experience.
  • 2+ years insurance brokerage or commercial experience.
  • Knowledge of general liability, property, auto and workers comp policies and coverages; familiarity with endorsements. 
Required Skills:
  • Proficiency in MS Office, especially Excel.
  • Ability to quickly learn new processes and systems.
  • Strong organizational and time management skills.
  • Excellent analytical skills and attention to detail.
  • Good oral, written and interpersonal communication skills.
  • Excellent critical thinking skills.
  • Self-starter and an ability to work independently.
  • Schedule flexibility to respond to emergency situations.
Physical/Mental Demands:
Position requires a high degree of concentration to manage frequent interruptions while meeting strict deadlines. This position requires the ability to perform duties using both typical office equipment such as computers, cell phones, and printers as well as the ability to communicate and perform tasks in an office environment. Must be able to perform physical and mental tasks associated within a manufacturing environment. Prolonged periods sitting at a desk and working on a computer.
 

Compensation:

The pay range listed is the base pay range that Satellite Shelters, inc/Satellite Industries, Inc. reasonably expects to pay someone for this position (compensation may vary outside of this range depending on several factors, including but not limited to, a candidate’s qualifications, skills, competencies, experience, location and end client requirements).
