Job Description - Intake and Dispatch Coordinator

Responsibilities include:

Answering and directing incoming phone calls in a polite and friendly manner

Welcoming visitors in a warm and friendly manner, and answering any questions they may have

Maintaining the reception area and all common areas in a clean and tidy manner at all times

Operating standard office equipment, hardware, and software on a regular basis, including Ring Central, security camera software, our proprietary job management software, and Microsoft 365/Office, including Outlook

Responsible for the intake of all leads and scheduling appointments for project managers. This may involve some interaction after-hours for the communication and coordination of emergencies.

Dispatching of emergency crews by coordinating with project managers and customers

Use of our spreadsheet to track and manage all leads

Responsible for managing the conversion of all new leads to a jobs, while delivering exceptional customer service

Track/follow-up with the project managers and crew by using our GPS and camera system, to ensure efficiency, punctuality, and production.

Following-up with potential clients and customers to make sure their experience is satisfactory

Receiving deliveries; sorting and distributing incoming mail

Compensation: $45,000.00 - $60,000.00 per year
