Position Summary


The Intake & Family Care Coordinator provides administrative coordination and support for youth residing in the residential child caring homes at Seamark Ranch. This role manages intake and placement coordination, tracks resident services and appointments, maintains organized documentation, and serves as a communication liaison between families, houseparents, and outside providers. The position helps ensure that each child’s care needs are organized, communicated clearly, and supported effectively in a manner consistent with organizational policies, licensing standards, and Seamark Ranch’s mission.



Essential Functions



  • Serve as the first point of contact for families inquiring about placement at Seamark Ranch and respond to incoming calls, emails, and applications.

  • Conduct initial intake screenings, coordinate documentation collection, and schedule intake meetings with families and appropriate staff.

  • Coordinate services for residents including medical, dental, mental health, and educational appointments, and track related referrals and follow-up needs.

  • Maintain organized, accurate, and confidential resident records, including intake documentation, releases of information, and service coordination notes.

  • Serve as a communication liaison between parents or guardians, houseparents, clinical staff, and outside providers to support clear and timely coordination.



Other Duties and Responsibilities



  • Performs other duties as assigned.

  • Supports campus-wide events and ministry activities as needed.



Required Qualifications



  • High school diploma required; associate’s or bachelor’s degree in social work, human services, psychology, business administration, or a related field preferred.

  • Experience in administrative coordination, child welfare, residential care, medical scheduling, education support, or a related setting preferred.

  • Ability to manage sensitive information with discretion and maintain organized records and follow-through.

  • Ability to meet all applicable background screening, drug testing, and regulatory requirements for work in a licensed child care setting.



Preferred Qualifications



  • Experience working with children, youth, or families in a residential, school, counseling, foster care, or ministry setting.

  • Experience coordinating appointments, referrals, or intake processes across multiple stakeholders.

  • Basic understanding of trauma-informed care, confidentiality expectations, and child welfare practices.



Knowledge, Skills, and Abilities



  • Ability to communicate effectively with youth, families, staff, and community partners.

  • Ability to maintain confidentiality and professional boundaries.

  • Ability to work independently and collaboratively within a team environment.

  • Strong organizational, scheduling, and problem-solving skills.

  • Ability to manage multiple schedules, deadlines, and competing priorities.

  • Calm, professional, and service-oriented approach in a fast-paced environment.



Physical Requirements


This role may include:



  • Ability to sit for extended periods while performing administrative and documentation tasks.

  • Ability to lift up to 25 pounds as needed for files, supplies, or program materials.

  • Ability to respond appropriately in urgent situations and move throughout campus as needed.



Work Environment & Schedule


Primarily office-based within a residential child care setting. Regular communication with families, staff, and outside providers is required. Some evening or weekend work may be needed based on intake schedules, family communication needs, or program demands.
