About the Role:
The Intake Lead plays a critical role in ensuring timely and accurate intake of prescriptions while also supporting, coaching, and guiding a team of Intake Specialists. In addition to hands-on intake responsibilities, this lead will help troubleshoot issues, monitor workflow, and serve as a point of contact between frontline staff, pharmacists, and operational leadership.
Key Responsibilities:
Leadership & Team Support
Act as the primary point of contact for escalations or complex intake issues.
Support onboarding and peer mentoring of new Intake Specialists.
Monitor daily workflow and adjust team priorities as needed to meet intake volume and turnaround targets.
Provide regular feedback to team members and escalate performance or training gaps to leadership.
Operational Excellence
Ensure timely and accurate processing of incoming prescriptions within the pharmacy management system.
Partner with pharmacists and technicians to maintain seamless intake-to-dispensing workflows.
Track and report team metrics and identify opportunities for process improvement.
Patient & Provider Communication
Communicate professionally with patients and healthcare providers to verify or clarify prescription details.
Assist the team with handling inquiries, discrepancies, and urgent intake issues.
Compliance & Documentation
Maintain strict adherence to HIPAA and other regulatory guidelines.
Ensure accurate documentation of all prescription intake activities and team communications.
Qualifications:
High school diploma or equivalent required; post-secondary education or certification in pharmacy or healthcare is a plus.
Minimum 2–3 years in a healthcare or pharmacy operations environment, with at least 1 year in a lead or senior role preferred.
Proven ability to mentor others and manage shifting team priorities in a high-volume setting.
Excellent communication, organizational, and problem-solving skills.
Strong computer skills and ability to navigate multiple systems quickly and accurately.
Physical Requirements:
Ability to sit or stand for extended periods.
Ability to lift and carry up to 20 pounds occasionally.
Prolonged computer use required.
Working Conditions:
Office or pharmacy-based environment.
May require occasional evening or weekend hours based on operational needs.
