Job Description - Intake Specialist-Day Services


FLSA DUTIES STATUS: Non-Exempt

REPORTS TO: Director of Sanctuary for Women’s Development, OKC

JOB OBJECTIVE: Provide direct service and support through day services at the Sanctuary for Women’s Development shelter. Conducts intakes with new clients interested in case management services. 

The essential job duties include but are not limited to:

  • Interact with clients seeking day services at the day-shelter. 
  • Effectively perform Intake interviews with clients. Open, maintain, and update client files within established timeframes. 
  • Determine if a client meets case management criteria and refer to Case Manager
  • Assist Case Manager with scheduling appointments with those that meet criteria.
  • Coordinate effective client arrival and appointment processes. 
  • Assist with signups for various series, e.g., showers, laundry, etc., and supervise the client process.
  • Intervene with clients in crisis situations as appropriate. 
  • Answer and screen incoming calls.
  • Keep accurate records, including timely opening of client records in the database and case notes as appropriate. 
  • Prepare and distribute food pantry and hygiene items as scheduled.
  • Provide information and referrals as appropriate. Provide emergency assistance based on department procedures when funding is available. 
  • Provide transportation for clients to and from shelters, as needed. 
  • Assist with scheduling and/or leading various group classes from anything to job search, daily living skills, etc. 

Ancillary functions:

  • Pick up supplies as scheduled, including through the Regional Food Bank of Oklahoma. 
  • Coordinate with all agency departments for efficient and effective use of shared resources.
  • Input and track daily, weekly, and monthly statistics for the department.
  • Other duties as assigned by the supervisor based on the department's needs.

SUPERVISORY RESPONSIBILITIES:

This position may supervise volunteers.


Requirements

MINIMUM QUALIFICATIONS FOR CONSIDERATION:

  • High school graduation or G.E.D., associate’s degree preferred.  
  • Must have a valid Oklahoma driver’s license and be eligible to drive company vehicles.
  • Fluency in Spanish and English preferred.

Knowledge, skills, and abilities:

  • Strong verbal and written communication, listening, and presentation skills.
  • Strong, flexible interpersonal skills required to interact effectively with clients, peers, and managers at all levels in the organization.
  • Excellent organizational skills are required to ensure that multiple tasks receive adequate and timely attention.
  • Ability to work effectively with staff, volunteers, parishes, and the community.
  • Ability to adjust communication style to handle diverse situations.
  • Able to function autonomously and be proactive.
  • PC literate and proficient. Proficient in Microsoft Office applications.
  • Food safety, civil rights, and CPR/SFA training. (Training provided)

PHYSICAL REQUIREMENTS

This position requires the following physical activities: 

  • Able to intervene during crisis situations, including performing CPR/SFA activities if warranted.
  • May sit for long periods of time.
  • May be required to stand/walk for long periods of time.
  • Finger dexterity, feeling, repetitive motions, talking, hearing, and visual acuity.
  • Lifting up to 50 pounds repetitively

WORKING CONDITIONS:

  • Typical environment is in a fast-paced center providing direct services to the unhoused and low-income population.  
  • May be subjected to fast-paced decision-making, crisis situations.

Salary Description

$17.00 per hour
