Job Description - IT Services Coordinator / Dispatch

What we are looking for in a IT Services Coordinator/Dispatch:
4-6 years of administrative or equivalent experience in a fast-paced office environment
Familiarity with cloud-based collaboration tools such as Google Workspace, Microsoft Teams, Slack, or Zoom
Ability to troubleshoot basic IT issues and coordinate with IT support
Excellent verbal and written communication skills with the ability to interact professionally with staff, leadership, and external partners

Proficiency in project management tools like Monday.com, or similar platforms to track and organize work
Strong ability to prioritize and handle multiple tasks efficiently while maintaining attention to detail
Ability to handle sensitive information with discretion and maintain compliance with data privacy and security policies
A proactive mindset to streamline administrative processes, enhance efficiency, and identify areas for improvement
What our IT Services Coordinator/Dispatcher's do:
Client Communication
Act as the primary contact for onsite service requests via phone, email, and ticketing system.
Provide clients with updates on ticket status, estimated response times, and service progress.
Ensure a professional and positive client experience in every interaction.
Scheduling & Dispatch
Prioritize, assign, and schedule service tickets to appropriate technicians based on skill set, availability, team, and priority level.
Manage technician calendars to optimize resource utilization and timely resolution of client issues.
Coordinate onsite and remote support scheduling with both clients and internal teams.
Ticket Management
Monitor the service desk queue to ensure tickets are logged, categorized, and dispatched accurately.
Track progress of open tickets and follow up to ensure timely resolution.
Escalate urgent or high-impact issues to management as needed.
Process & Documentation
Maintain accurate records of communication, scheduling, and ticket updates in the PSA (Professional Services Automation) system.
Support continuous improvement by identifying recurring issues or scheduling challenges.
Adhere to company policies, procedures, and service-level agreements (SLAs).
