JOB SUMMARY:


The IT Specialist provides hands-on technical support and infrastructure management across the organization, reporting directly to the Director of Technology & Design. This role is responsible for maintaining the company's IT environment, including network infrastructure, endpoint devices, cloud services, physical security systems, and internal applications, while serving as the primary internal resource for helpdesk support. The ideal candidate combines strong systems administration fundamentals with a proactive, ownership-driven mindset and works collaboratively alongside third-party partners to ensure seamless coverage of all IT infrastructure and security responsibilities.




RESPONSIBILITIES:


Infrastructure & Networking



  • Manage and maintain network infrastructure, including switches, routers, firewalls, Wi-Fi access points, and VLANs.

  • Administer IP address configurations, DNS, DHCP, and VPN environments.

  • Maintain and monitor cloud infrastructure across AWS and Google Cloud environments.

  • Work alongside OSI to support and maintain cloud server infrastructure hosted on AWS.

  • Ensure full coverage of cloud maintenance, IP configurations, and physical security systems in coordination with third-party partners.

  • Ensure network uptime, performance, and redundancy across all endpoints (25–75 devices).


Security



  • Administer and maintain physical security systems, including building access controls and door codes.

  • Implement and enforce IT security policies, including endpoint protection, patch management, and antivirus/EDR solutions.

  • Monitor systems for security threats, vulnerabilities, and unauthorized access.

  • Assist with user access management, permissions, and role-based access controls across all platforms.

  • Maintain and document security incident response procedures.


Endpoint & Asset Management



  • Serialize, track, and maintain inventory of all technology assets, including computers, laptops, monitors, and printers.

  • Manage equipment check-in/check-out processes and administer asset agreement documentation.

  • Configure, deploy, and support Mac and Windows workstations and peripheral devices.

  • Maintain hardware and software lifecycle management, including procurement recommendations.


ERP & Application Support



  • Provide internal support for the Odoo ERP environment (hosted on AWS, maintained with OSI).

  • Troubleshoot Odoo user-facing issues and coordinate with OSI for backend resolution.

  • Support Google Workspace administration, including user accounts, permissions, shared drives, and email.

  • Assist with Adobe product licensing and support across the organization.

  • Administer and maintain the organization's VoIP phone system, including user provisioning, call routing configuration, and troubleshooting of hardware and connectivity issues. 


Data & Systems Maintenance



  • Perform routine data maintenance, cleansing, and integrity audits across platforms.

  • Maintain backup procedures and verify recovery processes are functioning correctly.

  • Document IT systems, configurations, procedures, and network topology.


Helpdesk & User Support



  • Operate and maintain the internal IT helpdesk ticketing system.

  • Triage, prioritize, and resolve hardware, software, and connectivity support tickets.

  • Provide responsive end-user support for technical issues across Mac and Windows environments.

  • Create and maintain user-facing documentation and how-to guides.


General



  • Pursue ongoing IT education through courses, webinars, and conferences to stay current with industry trends and best practices.

  • Protect the organization’s value by keeping information confidential.

  • Complete special projects upon request and other duties as assigned.

  • Follow all company policies, procedures, and business ethics codes.


REQUIREMENTS & SKILLS:



  • Minimum 3 years of professional IT experience in a systems administration or IT support role

  • High School diploma/GED required

  • Mastery of Mac OS and Windows OS environments, configuration, troubleshooting, and administration

  • Mastery of command-line interfaces (Bash/Terminal and Windows CMD/PowerShell)

  • Proficiency in TCP/IP networking concepts: subnetting, DNS, DHCP, VLANs, firewalls, and VPNs

  • Experience with cloud platforms — AWS and/or Google Cloud (administration, access management, and monitoring)

  • Proficiency in Google Workspace administration (users, groups, Drive, Gmail, Calendar, Meet)

  • Experience with helpdesk or ticketing systems (e.g., Jira, Zendesk, Freshdesk, or similar)

  • Familiarity with endpoint management tools and antivirus/EDR solutions

  • Experience managing IT asset inventory, including serialization and check-in/check-out workflows

  • Proficiency with Adobe Creative Suite products (licensing and user-level support)

  • Strong analytical and troubleshooting skills across hardware, software, and network environments

  • Ability to manage multiple concurrent priorities with a proactive, ownership-driven mindset

  • Clear and effective written and verbal communication with both technical and non-technical stakeholders

  • Attention to detail, especially in asset tracking, documentation, and security compliance

  • Adaptability and willingness to take on expanding scope as third-party responsibilities transition in-house

  • Collaborative approach with the ability to work alongside external partners and internal departments 


IT-Specific Technical Requirements



  • Hands-on experience configuring and maintaining network hardware (routers, switches, access points, firewalls)

  • Working knowledge of physical security and access control systems (door codes, badge readers, camera systems)

  • Experience administering cloud-hosted application environments — AWS EC2, RDS, or equivalent

  • Familiarity with backup and disaster recovery planning and implementation

  • Ability to read and interpret network diagrams and system documentation

  • Knowledge of IT security best practices: patch management, least-privilege access, MFA enforcement

  • Experience with or ability to learn ERP platforms (Odoo experience a plus) 


Prefered Requirements



  • Bachelor's degree in Information Technology, Computer Science, or other related fields, or equivalent certification.

  • Understanding of ITIL or similar IT service management frameworks 

  • Working knowledge of JavaScript, HTML, CSS, and/or Python

  • Experience with Google Apps Script for workflow automation

  • Familiarity with infrastructure-as-code tools (Terraform, AWS CloudFormation)

  • Experience supporting Odoo ERP environments

  • Scripting experience for automation of IT tasks (batch, shell, Python).
