P&C Seasonal Associate


Purpose of the role:




The Seasonal People & Culture Coordinator is a hands-on administrative support role responsible for delivering day-to-day People & Culture services to employees and managers within a manufacturing environment. This role supports employee onboarding, HR systems administration, employee records management, training compliance, attendance-related processes, and employee inquiries to help ensure accurate workforce data, regulatory compliance, and a positive employee experience. Working under the guidance of the People & Culture team, the coordinator collaborates with operations leaders and support functions to facilitate effective workforce processes and business continuity while performing other P&C-related activities as assigned, within the scope of the employee's capabilities.


Three Seasonal People & Culture Coordinator positions are available to support site operations across all shifts: First Shift (Monday-Friday, 6:00 AM-2:00 PM), Second Shift (Monday-Friday, 2:00 PM-10:00 PM), and Third Shift (Sunday-Thursday, 10:00 PM-6:00 AM).


 




Main Areas of Responsibilties



Employee Onboarding:



  • Meet new hires at the breakroom on their first day and verify completion of first-day acknowledgment ("passport") documentation.

  • Provide an overview of the breakroom, including locker instructions, lunch options, and break procedures.

  • Ensure employees have the required PPE (safety shoes, ear plugs, safety vest if needed, no jewelry, etc.).

  • Escort new hires to the factory floor and introduce them to their supervisor.



 



Systems Support:



  • Enroll new hires into the timekeeping system and explain attendance and arrival expectations (employees should arrive 5 minutes before shift start).

  • Assist with timesheet corrections and updates.

  • Access and print employee documents, including W-2s, paystubs, and other required forms.

  • Prepare employee letters, such as proof of employment requests.

  • Update employee personal information in company systems, including address, phone number, and email changes.

  • Reset employee payroll system passwords.

  • Support employee record transitions during payroll provider changes, including employee data transfers and timeclock setup.




Discipline and Attendance Support:



  • Monitor the employee text hotline and People & Culture email inbox.

  • Assist line managers with employee statements and documentation related to disciplinary matters.

  • Coordinate employee badge deactivation requests and work with Security to arrange employee escorts when required.

  • Escalate complex employee relations and discipline matters to the P&C Business Partner.




Employee Relations:



  • Respond to basic employee questions regarding company policies and procedures.

  • Assist with coordinating employee movement between departments to support operational staffing needs.




Employee Records:



  • Maintain employee personnel files and ensure required documentation is accurately filed and retained.

  • Support data entry and record management for required training, orientations, inductions, certifications, and compliance activities.

  • Maintain and monitor training matrices to ensure employees complete required training and that records are properly documented.




Drug Screening Support:



  • Assist with drug-screening processes, including obtaining signed waivers from employees who refuse testing or appear impaired before leaving company premises.

  • Coordinate drug testing activities during periods when nursing staff are unavailable.

  • Support data entry and recordkeeping for medical checks and drug screening activities.



Requirements:



  • Associate Degree required, Bachelors Degree preferred 

  • Minimum 2 years of HR expierence, previous expierence working with seasonal staff and/or in a manufacturing enviorment is a plus

  • Articulate in English with excellent communication and written skills 

  • Attenttion to detail

  • Proficient in Microsoft Office (Excel, Outlook, Word, PowerPoint)
