Location: Midtown Manhattan, NY (4 days in-office)

Reports To: Office Manager

They are seeking a polished, detail-oriented Junior Office Administrator to support the daily operations of their New York office. This role provides administrative support to senior leadership while helping maintain an organized, professional, and efficient workplace. Occasional travel to the firm's Stamford, CT office may be required.


Key Responsibilities

  • Answer and direct incoming phone calls while providing a professional first impression to clients and visitors.
  • Greet guests and manage the reception area.
  • Schedule meetings, maintain executive and team calendars, and coordinate conference room reservations.
  • Prepare, organize, and maintain financial documents, reports, correspondence, and other business records.
  • Perform accurate data entry and maintain both electronic and physical filing systems.
  • Process incoming and outgoing mail, packages, and courier deliveries.
  • Order and maintain office supplies while coordinating with external vendors.
  • Prepare presentations, reports, and meeting materials for executives and staff.
  • Coordinate domestic and international travel arrangements and prepare expense reports.
  • Monitor office equipment and coordinate maintenance or service as needed.
  • Maintain strict confidentiality when handling sensitive client, financial, and business information.
  • Provide day-to-day administrative support to executives, financial advisors, and office staff.
  • Assist with special projects and office initiatives as needed.


Requirements

Qualifications

  • Bachelor's degree required.
  • 5+ years of administrative or office support experience, preferably within financial services, banking, investment management, or a corporate environment.
  • Experience supporting senior executives in a professional office setting.
  • Working knowledge of office management software and document management systems.
  • Basic understanding of financial services terminology and business practices.
  • Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and time management abilities.
  • Exceptional attention to detail and accuracy.
  • Ability to prioritize competing responsibilities and meet deadlines in a fast-paced environment.
  • Professional demeanor with outstanding customer service and interpersonal skills.

  • Base salary: $115,000–$135,000, plus annual bonus.
