Job Description - JUNIOR WAREHOUSE SUPERVISOR

JOB SUMMARY


As the Junior Warehouse Supervisor, you will play a pivotal role in leading and motivating the warehouse staff to achieve operational excellence and meet performance targets. You are responsible for overseeing efficient inventory handling, storage, and tracking processes to maintain accuracy. You will coordinate picking, packing, and shipping operations to ensure accurate and timely order fulfillment. Quality assurance is a key aspect, involving the implementation and maintenance of standards to preserve product integrity throughout the supply chain. Safety compliance is paramount, and you will enforce protocols to create a secure working environment. Additionally, you will actively identify opportunities for continuous improvement, contributing to the overall efficiency of our warehouse operations.




PERFORMANCE CRITERIA


Facility & Equipment



  • Maintain storage area by organizing floor space; adhering to storage design principles and recommending improvements.

  • Actively assist the manager in securing the building and the inventory.

  • Conduct safety inspections of the facility and ensure all needed repairs are reported and addressed.



  • Ensure scheduled maintenance of vehicles, machinery, and equipment assigned to the division (Forklifts, Pick Trucks, Trucks used for transportation of goods) are completed.

  • Ensure forklifts and other machinery used in the warehouse are operated using standard guidelines.

  • Log and report all incidences or accidents involving equipment.


 


People



  • Maintaining standards of health and safety, hygiene and security in the division, for example, ensuring that stock such as oils and lubricants are stored safely.

  • Ensure that employees’ health and safety are attended to at all times and investigate all accidents and incidences.

  • Log and report all accidents and incidents that occur in the warehouse.

  • Managing timesheets and overtime hours

  • Complete warehouse operational requirements by scheduling and assigning employees; following up, measuring and reporting on work results.

  • Maintain warehouse staff by assisting in the orienting, training, assigning, scheduling, coaching, counselling and disciplining employees as required.

  • Monitor and appraise employees’ performance and progress as per prescribed schedule.

  • Ensure warehouse team adheres to all safety requirements including the wearing of all safety gears.

  • Ensure that daily labourers/contractors handle inventory according to procedure to minimize losses.

  • Motivating, organizing, and encouraging teamwork within the division to ensure set productivity targets are met and harmonious work environment is encouraged.

  • Lead by example and offer supportive management and empower employees to provide service to others and work with co-workers in a friendly environment.

  • Solve problems, negotiate, and address staff challenges.



Inventory



  • Execute the receipt of incoming shipments by doing second counts and checks.  

  • Co-ordinate binning and picking activities.

  • Provide second checks for Daily Orders and Billing

  • Ensure that damaged and suspected inventories are segregated from good ones and reported upon detection to the internal audit division.

  • Ensure that the broken containers are immediately put back together and re-bagged properly.

  • Move inventory by scheduling materials to be moved to and from warehouses, coordinating inventory transfers with stores.

  • Identify variances and implement corrective actions.

  • Deliver supplies by receiving and transferring stocks.

  • Practice proper inventory management by conducting monthly physical counts, reconciling variances and inputting data.

  • Conduct daily inspections of the condition of inventory stored in the warehouse and the surrounding security features.

  • Maintain up to date files in which all daily inventories and transactions are accurately recorded and can be recalled with ease.



 


 


Core Tasks



  • Uphold all standards of safety in the warehouse.

  • Check orders prepared for transportation for thoroughness and completeness and prepare additional transfers when necessary.

  • All reports are properly completed on or before agreed submission deadlines.

  • Oversee the receipt, check off and distribution of materials entering or leaving the warehouse; assist team members with this task when required.

  • Offloading of newly arrived Inventory, verification of physical quantity, numbers, and verification of invoice number.

  • Controlling all the warehouse transaction and its records and data entering.

  • Ensure the effective usage of resources as and when required.

  • Safeguards warehouse operations and contents.

  • Maintain proper filing system and prepare full handover report when leaving the warehouse.

  • Monitor, measure, evaluate and report on clerks' performance as per KPIs.

  • Ensure that delivery schedules are followed and any deviation is timely communicated with other departments and staff groups.

  • Co-ordinate the timely picking, checking off and delivery of Wholesale/PD Orders and Call Centre delivery services.

  • Respond to and deal with branch communications in a timely manner.

  • Prepare & provide weekly Reports.

  • Ensure Security of the area is always maintained.



 


 Working conditions and physical demands:



  • Frequently working at high pace, and for long hours

  • Exposure to mental stress

  • Not a sedentary position. Requires one to be active and to frequently stand and move around.

  • Required to work on weekends.




Required Expertise:



  • BSc. Degree in Business Administration

  • Three or more years of warehouse/distribution management experience

  • Expertise in Microsoft Excel and Word

  • Expertise in warehouse/distribution management procedures and best practices

  • Knowledge of logistics and supply chain management

  • Knowledge of warehousing key performance indicators (KPIs)
