Job Description:
As the People Operations Coordinator, you will be exposed to all facets of People operations. You will be an integral member of the People and Talent team and responsible for coordinating and streamlining the various aspects of talent, ensuring a seamless and effective process from beginning to end, understanding, documenting, following, and improving various HR processes and programs as part of our best-in-class service delivery to our people. Position Location: Preference for one of our Kodiak office locations: Chicago, Denver, Indianapolis, or Nashville but open to US remote. People Operations Coordinator
As the People Operations Coordinator, you will be exposed to all facets of People operations. You will be an integral member of the People and Talent team and responsible for coordinating and streamlining the various aspects of talent, ensuring a seamless and effective process from beginning to end, understanding, documenting, following, and improving various HR processes and programs as part of our best-in-class service delivery to our people. Job Responsibilities
Responsible for fostering a top-tier candidate experience, spanning from the scheduling of interviews to the completion of onboarding.
Take full ownership of the scheduling process from end to end, catering to both ongoing and opportunistic hiring needs.
Act as a welcoming host for both virtual and onsite interviews, ensuring a smooth and engaging experience for candidates.
Lead clear, direct, and professional interactions with candidates and hiring partners, both in writing and orally, while possessing exemplary follow-up skills to ensure tasks are completed fully and efficiently.
Responsible for administrative onboarding tasks: complete and process new hire documents, coordinating logistics, employee communications, HRIS setup and scheduling and facilitating orientation sessions.
Administer compliance training within HRIS system and track employee completion status; assist with training follow up as needed.
Assist in administrative offboarding tasks: employment closeout in HRIS system and other administrative systems, scheduling exit interviews and closeout and coordination of benefits with employees.
Maintain confidentiality of employee data and generate analytical reports to inform strategic HR and recruiting decisions.
Assist with the summer internship program, ensuring a productive and engaging experience for interns.
Oversee day-to-day administration of medical, dental, vision, 401K, HSA/FSA and other savings accounts, life insurance, voluntary benefits, payroll processing, and leave administration.
Maintain company HRIS/Payroll system, global organizational chart platform, and update employment information in the systems.
Assist with developing standard operating procedures/policies related to HR Administration to enhance internal operations and workflow that follow federal, state, and local laws.
Ensure compliance with applicable federal and state laws pertaining to employment and benefit plans (e.g. ADA, ACA, COBRA, ERISA, FMLA, HIPAA, FCRA, and PFL), completion of applicable reporting requirements and conduct HR/Payroll audits.
Handle general HR inquiries and administrative requests including letters of employment, wage, and employment verification forms and assist with employment immigration paperwork.
Partner with the People team in the rollout of new programs and HR-related initiatives, including a new performance management system, Diversity, Engagement & Belonging group projects.
Other duties as assigned.
Job Requirements
2-5 years of related experience; tech and/or start-up experience is a plus.
Bachelor's degree in Human Resources, Business Administration, or a related field.
Previous experience with HRIS systems such as Dayforce/Ceridian, Workday, Applicant tracking recruiting system and other HR related software.
Strong working knowledge of Office 365 /MS Office (Word, Excel, PowerPoint, Notes, Teams, Outlook)
Professionalism and discretion in dealing with confidential information.
Excellent organizational and time management skills with the ability to handle multiple tasks, attention to detail and prioritize effectively.
Ability to work in a dynamic, ambiguous and fast-paced environment.
