McColm & Company (McColm) is a mission-driven and customer-focused consulting firm that equips change makers with the knowledge, skills, and insights they need to succeed in an increasingly complex world. McColm specializes in supporting U.S. federal customers with national security and foreign affairs focused portfolios by managing bespoke professional training programs, delivering effective training support solutions, and providing highly specialized technical assistance and analysis expertise to decision makers.

McColm seeks a Lead Scheduler to serve as the primary scheduling and course management specialist for an Air Force foreign language training program. The Lead Scheduler is responsible for utilizing the government-provided LMS/scheduling application to match over 1,100 students annually with qualified instructors across 30+ languages, manage Fixed, Flex, and OnDemand schedules, monitor course execution, track student status, and produce weekly and monthly reports. This role requires exceptional organizational skills, attention to detail, and the ability to manage high-volume scheduling operations across multiple time zones. The position description below details the duties and qualifications of the anticipated position, contingent upon contract award.

  • Utilize the government-provided LMS/scheduling application to access real-time updates on approved students and finalize registration and scheduling with qualified language instructors.
  • Compile instructor availability and match students with instructors across languages, proficiency levels, availability windows, and time zones using the scheduling tool.
  • Finalize scheduling no later than 45 calendar days after the client approves students.
  • Manage Fixed, Flex, and OnDemand scheduling types, ensuring courses are scheduled to avoid consecutive days of the week unless no alternative is available.
  • Send registration confirmation emails and coordinate welcome letters with client and Contractor instructional video links to scheduled students.
  • Monitor student attendance and coordinate concerns with instructors and students; notify the client and student when attendance triggers are met (missed first session, two consecutive missed sessions, or risk of failing the 80% attendance requirement).
  • Maintain accurate student Status records in accordance with client procedures.
  • Manage student-reported schedule conflicts, assessing rescheduling feasibility while preserving instructional continuity.
  • Prepare and contribute to Monthly Status Reports, including course tables, grouping metrics, student throughput, and billing summaries.
  • Escalate unresolvable scheduling, attendance, or behavioral issues to the Program Lead and client as required.
  • MUST be Certified in Microsoft Word, PowerPoint, and Excel, or demonstrated equivalent proficiency.
  • Three or more years of experience in education and training course scheduling.
  • Three or more years of helpdesk management experience.
  • Strong organizational skills with the ability to manage high-volume scheduling across multiple languages, time zones, and course types.
  • Demonstrated ability to use web-based scheduling and data management applications.
  • Excellent written and verbal communication skills.
  • Attention to detail and accuracy in data entry and record keeping.
  • Prior Air Force or military experience a plus.
  • Ability to legally work in the United States.

McColm offers a competitive compensation and benefits package to all of our staff. Compensation is offered according to job requirements, market dynamics, and experience/skills of the successful candidate. Benefits include medical, dental, vision, and life insurances, generous Paid Time Off, 11 paid federal holidays, and annual performance-based bonuses.

We are an equal opportunity employer offering employment without regard to race, color, religion, sex, age, sexual orientation, national origin, citizenship, gender identity or expression, disability status, or any other characteristic protected by federal, state or local laws.
