The Leasing Administrator supports the community's leasing operations by keeping information accurate, communication clear, and service consistent-delivering a high-level of customer service from first inquiry through move-in.
This position will support our luxury property in Chatham, NJ and also our upcoming brand new luxury lease-up property in Millburn, NJ. This is a great opportunity for a career property management individual who wants to learn a lease-up from the ground up.
Key responsibilities include: - Manage leasing-office administrative tasks, resident/prospect correspondence, and orderly filing/scanning of leases and packets - Greet and register prospects, answer phones/emails promptly, and route leads to the leasing team - Maintain data and reporting in Yardi and Microsoft Office; track move-ins/move-outs and prepare daily/weekly leasing reports - Coordinate scheduling support with property and maintenance teams, including turnover timing and lease signings - Help keep the leasing center professional and presentable; support supply ordering and collateral organization
Schedule: Friday-Tuesday 10am-6pm; subject to change upon businses needs
Job Responsibilities:
Minimum Required Qualifications:
High school diploma or equivalent
1+ years' experience in property management
Strong interpersonal skills
Proficient in computer programs, including Microsoft Office and Yardi
Ability to work with minimal supervision
Well organized with excellent time management skills
Knowledge of rules, regulations and laws regarding property management
Maintain regular and punctual attendance
Work overtime hours as required to complete assignments/projects
Comply with all company policies and procedures

Handle all administrative duties as needed
Maintain a professional, friendly, and inviting atmosphere in the leasing center
Greet and register all prospective residents and obtain necessary guest card information
Answer phone promptly and courteously and maintain the phone traffic recording for prospect phone calls and visits.
Direct email and phone leads to the leasing team
Maintain prospect and resident database in customer management system (Yardi software)
Prepare and distribute daily and weekly leasing reports to upper management team
Ensure accurate and timely reporting of move-ins and move-outs
Maintain orderly files for all prospects and residents
Scan leases and file accordingly
Maintain complete resident files for every resident
Maintain general office files
Maintain inventory of office supplies, and place orders as needed
Keep collateral materials orderly and readily available for leasing staff
Help leasing team with preparation of lease packages and move in packets as needed
Assist in the scheduling of vacant apartment turnover work as needed
Prepare resident/prospect correspondence as needed
Coordinate promotional events as needed with site staff
Update apartment pricing and community details on ILS websites, as needed
Complete other duties as assigned by upper management

Check voicemail consistently.
Check office supplies and make any orders required (Mondays Only).
Check and update files.
Keep office and common areas tidy and presentable.
Schedule lease signings as needed.
Prepare move-in packets for new move-ins
Prepare resident move-in gifts as needed
Safety
Learn and ensure compliance with all company, local, state and federal safety rules
Ensure that unsafe conditions are corrected in a timely manner
Direct staff to follow a "safety first" principle
