Johnson Service Group (JSG) is seeking a Legal Assistant for a client partner in Irvine, CA.  This is an onsite position 32 hours a week.
 

Responsibilities

Client Support

  • Communicates frequently and accurately with clients and prospective clients who have inquiries about the H-2A visa process.
  • Conduct new client intake and follow-up to obtain signed documents, agreements, and related forms necessary to initiate H-2A applications.
  • Provide clients consistent and timely status updates. 
  • Prepare check requests to advance funds on clients’ behalf.

Administrative Support

  • Prepares for attorney review and timely submittal of job orders to the State Workforce Agency (SWA).
  • Prepares for attorney review and timely submittal of applications for temporary labor certification to U.S. Department of Labor (DOL).
  • Prepares petition for non-immigrant visa for attorney review and submit to United States Customs and Immigration Services (USCIS).
  • Translate documents from Spanish to English.
  • Provide general administrative support including but not limited to scheduling appointments, answering incoming calls, distributing messages, maintaining calendars, filing, and maintaining file room.
  • Assume responsibility for maintaining office supplies by checking inventory and order items.
  • Manage workflow in the SERV ticketing system by ensuring that deadlines are met, and work is assigned correctly.
  • Handle Incoming/Outgoing department mailbox daily, timestamp letters and notifications received.
  • Input, update and manage the life cycle of contracts in Contract Management System.
  • Respond to questions and requests for information from internal and external stakeholders.
  • Process and calendar Perishable Agricultural Commodities Act (PACA) claims and assists in preparing responses.
  • Evaluate with the Manager, Trade Practices approaching deadlines (i.e. demand letters, informal or formal complaints) and notates updates on the Weekly Status excel worksheet.
  • Handles member billing for PACA files, keeping a record of delinquent accounts, and contacting them for payment if not received within 30 days of receipt.
  • Interface confidently and professionally with state government representatives and vendors.
  • Prepare responses to SWA/DOL/USCIS inquiries, notices of deficiency, and requests for evidence.
  • Prepare and submit initial recruitment reports.

Accounting Support

  • Obtain approvals to pay outstanding invoices and generate check requests.
  • Generates and issues invoices for Legal and Trade Practices’ products and services offered to members and reimbursement to clients.
  • Enter expense data and receipts for reimbursement on the company’s credit card and reimbursement software.

Qualifications

  • Bachelor’s degree plus two (2) to four (4) years administrative and/or collegiate academic experience, preferred.
  • Excellent communication skills (both verbal and written) and an acute attention to detail.
  • Paralegal certificate, preferred.
  • H-2A visa or other immigration-related legal experience, preferred.
  • Excellent computer skills and proficiency with MS Office Suite (Word, Excel, Outlook) and Adobe Acrobat with the ability to learn new or updated software.
  • Highly detail oriented with strong organizational skills, able to meet deadlines, adjust to changing priorities with continued attention to detail and ability to perform well under pressure
  • Strong ability to work efficiently and effectively in a multiple task, multi-project and multi-demanding environment. 
  • Ability to work independently, exercise good judgment and multi-task with little supervision.
  • Strong ability to manage and organize work economically and efficiently, establish priorities and maintain good interpersonal relations and communications with clients and staff.
