Description: Summary: The License specialist is responsible for compliance and audit management, process management, and client relationship management.
Compliance and Audit Management: Apply client policies and procedures and SOX-related compliance policies. Support internal and external audits Adhere to jurisdiction regulations regarding the initial application for and the renewal of licenses to operate all of the client business units.
Process Management: Research applicable rules and regulations within each state, county and local licensing jurisdiction affecting the operations of company units and facilities. Review jurisdictions rules, regulations and business practices in order to complete the licensing requirements for the different client business units. Process, accurately complete, and, timely submit initial applications or renewals of pharmacy, DEA, business and other licenses required for the operation of the business.
Client Relationship Management: Assist Team Lead, licensing with all work with various business units and other corporate departments to understand specific business requirements. Collaborate with Service Provider to ensure the requirements are met. Assist other License Specialists with the completion of initial applications or the renewal of applications as needed. Interface with licensing jurisdictions to obtain licensing requirements and ensure compliance with applicable regulations. Reach out to team lead or department manager for clarification on jurisdiction requirements that may be unclear.Job Responsibilities (listed in order of importance and/or time spent) Process pharmacy, DEA, business and other licenses as needed. Research applicable rules and regulations within each state, county and city taxing jurisdiction affecting the operations of company business units. Review applicable jurisdiction rules, regulations and business practices in order to complete the license applications for the different client business units. Complete pharmacy, DEA, business and other licenses to insure the licenses are filed timely, accurately and completely. Contacts Pharmacy Boards and other licensing agency personnel to address compliance issues or to clarify licensing requirements. Escalates complex or unresolved issues to Team Lead, Licensing. Research the requirements for new locations and complete all applications for the operation of the business. Review the renewal calendar, new store checklist and beer & wine checklist prepared by the Team Lead to determine the filings of applications and disbursements are done timely and accurately. Updates / maintains License Automation System, New Store Checklist and Beer and Wine Checklist as tasks are performed. Participate in all meetings required for the performance of assigned tasks. Follow up and respond to any inquiries made at such meetings.
Basic Qualifications: High School Diploma/GED and 10+ years experience in an office. Experience interpreting and processing business related forms (i.e. mortgage documents, insurance forms) Experience providing customer service to internal and external customers, including meeting quality standards for services, and evaluation of customer satisfaction. Experience communicating both verbally (on phone, one-on-one) and in writing (emails, letters) to various audiences (work group, team, company management, external licensing agencies). Basic level skill in Microsoft Word (for example: opening a document, cutting, pasting and aligning text, selecting font type and size, changing margins and column width, sorting, inserting bullets, pictures and dates, using find and replace, undo, spell check, track changes, review pane and/or print functions).
Day to day roles & responsibilities look like for this contractor: Works independently to prepare and submit complex license applications, meeting the requirements of licensing jurisdictions. Effectively and regularly communicates with Licensing leadership and business partners to understand goals and achieve objectives. Represents Licensing internally to business partners and externally to licensing jurisdictions, resolving issues using negotiation and experience. Demonstrates independent judgment and critical thinking to proactively identify issues, appreciate operational impacts, and report on findings to internal and external stakeholders. Provides guidance by training, coaching, or mentoring other Licensing team members.
