Job Description - Licensing Assistant

Title: Licensing Assistant


Status: Full-time


Hours: 40/week, Monday-Friday, 9 am-6 pm


Location: Brooklyn, NY or Bloomington, IN


Reports to: Head of Commercial Licensing

SG Services, Inc. provides accounting services, legal services, IT support, tech support, and human resource support to the Secretly affiliated companies. These companies include Secretly Group, Secretly Distribution, Ghostly International, Secretly Publishing, All Flowers Group, and The Numero Group.



Position Summary:



SG Services, Inc.’s Business Affairs team is seeking a Licensing Assistant, capable of coordinating a variety of business affairs administration and licensing matters on behalf of the Business Affairs Team. The Business Affairs Team is comprised of skilled lawyers, licensing managers, and administrators who draft and negotiate agreements on behalf of the Secretly affiliated companies, including deals with artists, distributors, technology vendors, licensors, digital services, and more. This role will be responsible for organizing and tracking the department's deal-making process, which will involve working closely with multiple departments. The successful candidate will be responsible for facilitating minor licensing requests from inception to completion of paperwork. This position will be based in Bloomington, Indiana or Brooklyn, New York, and will report to the Head of Commercial Licensing as part of SG Services’ Business Affairs Team.  



Responsibilities:




  • Locate, analyze, and assist with reviewing contract provisions of existing agreements to determine rights and consent requirements for various uses of recordings, compositions, and/or other assets in SG Services’ catalog.  

  • Manage various non-synch minor licensing requests from start to finish – gathering relevant project details, pursuing necessary approvals, assisting with negotiating terms, and processing agreements accordingly. Non-synch licensing requests include promotional use licenses for recordings and music videos, licensing for minor compilations and limited format licenses, and assisting with soundtrack and sample licenses, as needed.  

  • Collect and organize incoming non-synch licensing requests (including soundtrack and sample licenses) by gathering relevant request details from licensees and enter details into internal tracking systems to assist the Head of Commercial Licensing.  

  • Assist in preparing and issuing short-form licensing agreements based upon negotiated terms.   

  • Accurately track licenses through to full execution and work with multiple departments to coordinate the delivery of invoices and any applicable assets.  

  • Accurately summarize agreement terms and communicate them to relevant departments. 

  • Maintain and regularly update our standard licensing form agreements, best practices, and processes in accordance with company policies. 

  • Help with rights management tasks, such as identifying expired licenses and supporting the team in notifying licensees and updating company records.  

  • Support the department by assisting with other tasks related to the department’s role that might be assigned from time to time.  



The Ideal Candidate Demonstrates:




  • Possess an interest in business and legal concepts within the music industry.  

  • Excellent analytical, communication, and research skills. 

  • Highly organized and extremely detail-oriented. 

  • Ability to retain detailed information and instructions and execute tasks accordingly.  

  • Motivated and proven self-starter who is proactive and resourceful.  

  • Ability to manage multiple assignments and prioritize them effectively and appropriately. 

  • Willingness to work on projects across a broad spectrum of complexity. 

  • Ability to work both independently and a part of a team in a fast-paced environment. 

  • General knowledge of music clearance, licensing, and copyright principles preferred. 

  • Ability to handle confidential and sensitive information and documents.  

  • Passionate about music and familiarity with the Secretly-affiliate roster is a plus.
