Job Description - Litigation Support Specialist

The Litigation Support Specialist will provide administrative assistance to the Director of Litigation and the Litigation Support Manager. The ideal candidate will demonstrate end-user proficiency in Microsoft Office as well as the ability to consistently and accurately complete the following tasks, while maintaining strict confidentiality:



Litigation Support:




  • Document incoming threats, suits, and complaints on the departmental tracker and distribute to internal departments as needed

  • Demonstrate user proficiency with Microsoft Access to create and update database records with consumer and complaint information

  • Review certified mail and other written correspondence for possible threats, suits, and complaints

  • Request underlying media and account records internally and externally, as directed

  • Receive and process update requests to/from clients, as needed

  • Receive and process incoming mail for litigation team in the office; distribute and document as needed

  • Ability to review and process communications from a process server, in office and electronically

  • Distribute settlement agreements for internal execution as needed

  • Prepare settlement check requests

  • Utilize Pacer to complete reputational checks and query new lawsuits



Regulatory Complaint Support:




  • Navigate assigned regulatory complaint portals to process new complaints, upload responses and manage due dates

  • Update departmental complaint log daily

  • Distribute new complaints internally for escalation to clients

  • Assist in the review of regulatory complaints, requesting account level records as needed



  • Receive and process update requests to/from clients, as needed



Vendor Audit Support:




  • Maintain and update the vendor audit calendar to reflect audit cycles and evidentiary document requests, e.g., COI, SOC, PCI, and similar documents with annual dates of expiration

  • Use vendor trust sites to obtain audit documents and review

  • Maintain and update points of contact for active vendors

  • Receive and process update requests to/from clients, as needed



Licensing Support:




  • Ensure state license folders are maintained and updated with current versions of business licenses

  • Request reports from internal departments to complete quarterly licensing reports and complete in-state portals

  • Document license renewals and complete the requested items, includes obtaining signatures from executives

  • Distribute updated license renewal documents for physical frames

  • Complete license requests for client audits  



Requirements:




  • Previous third-party collection experience preferred

  • User proficiency with MS Office Suite, including Word, Excel, PowerPoint, Access, Teams and Office 365, including advanced user functions

  • Ability to maintain strict confidentiality, internally and externally

  • Professional verbal and written communication skills

  • Strong attention to detail

  • Ability to self-manage and meet strict deadlines

  • Knowledge of the FDCPA and other regulations governing third-party debt collections preferred, but not required

  • 8-hour shift with set schedule

  • 7:00 AM to 4:00 PM CST
