Job Description - Loan Administration Communication Coordinator

GENERAL DESCRIPTION OF POSITION


The Loan Administration Communication Coordinator is responsible for coordinating lending-related change management between all applicable lines of business, including but not limited to training, front-line lending staff, back-office lending staff, and management. This position will support regional support staff and front-line lending staff by creating, distributing, and conducting training materials, as well as scheduling and hosting lending-related change management and issue resolution meetings. The position manages the lending-related conversion training and support efforts for operating systems as well as mergers and acquisitions. The coordinator is responsible for ensuring the content of loan policy and loan procedure are accurate and reviewed annually.


ESSENTIAL DUTIES AND RESPONSIBILITIES


1. Develops and maintains training materials for lending training programs, working in conjunction with the Training Department. This duty is performed weekly, about 10% of the time.


2. Prepares lending training resources and training materials, manuals and handouts for the "train the trainer" to ensure changes are communicated to lending staff. This duty is performed monthly, about 5% of the time.


3. Organizes and participates in loan operating system training for conversions, including monitoring lending support questions for clarification to employees. This duty is performed as needed, about 5% of the time.


4. Provides lending support for conversions, including regulatory changes, loan operating systems, policies and procedures. This duty is performed as needed, about 5% of the time.


5. Plays a key role in ensuring changes are communicated to bank lending staff via approved channels. This duty is performed daily, about 10% of the time.


6. Works with the Training Department on all bank lending training. This duty is performed as needed, about 5% of the time.


7. Monitors and reviews lending support questions to determine lender training, communication and support needs. This duty is performed daily, about 10% of the time.


8. Manages audit response implementations for bank lenders to ensure required communication and training are complete. This duty is performed weekly, about 5% of the time.


9. Meet weekly with regional support team and training department to discuss recent changes or updates. This duty is performed weekly, about 5% of the time.


10. Maintains detailed and accurate change management log for the purpose of tracking a historical record of change. This duty is performed weekly, about 5% of the time.


11. Participates in all lending projects to ensure changes as a result of the project are relayed to the appropriate lending staff. This duty is performed as needed, about 5% of the time.


12. Maintains and updates the lending intranet home page to ensure compliance with loan policy and procedures. This duty is performed daily, about 5% of the time.


13. Ensures the content of loan policy and loan procedure are accurate and reviewed annually with senior lending management. This duty is performed annually, about 5% of the time.


14. Escalates issues to the Director of Loan Administration when a known remedy is not available. This duty is performed as needed, about 5% of the time.


15. Plays a key role in the successful implementation of new products, procedures, and software by developing, coordinating, and presenting relevant training, as well as working closely with management during the phases of planning and implementation. This duty is performed daily, about 10% of the time.


16. Maintains a proactive approach to ensure change management is properly communicated and identifying alternative delivery methods including virtual training to maximize the results and clear understanding of content. This duty is performed daily, about 5% of the time.


17. Completes required BSA/AML training and other compliance training as assigned. This duty is performed as needed. This duty is performed quarterly.


18. The ability to work in a constant state of alertness and in a safe manner. This duty is performed daily.


19. Perform any other related duties as required or assigned.


QUALIFICATIONS


To perform this job successfully, an individual must be able to perform each essential duty mentioned satisfactorily.  The requirements listed below are representative of the knowledge, skill, and/or ability required.


EDUCATION AND EXPERIENCE


Broad knowledge of such fields as accounting, marketing, business administration, finance, etc. Equivalent to a four year college degree, plus 5 years related experience and/or training, and 2 years related management experience, or equivalent combination of education and experience.


COMMUNICATION SKILLS


Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, clients, general public and other employees of the organization. ability to read, analyze, and understand general business/company related articles and professional journals; ability to speak effectively before groups of customers or employees. ability to write reports, business correspondence, and policy/procedure manuals; ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. ability to read, analyze, and understand common scientific and technical journals, financial reports, and legal documents; ability to respond to complex or difficult inquiries or complaints from customers, regulatory agencies, or members of the business community.


MATHEMATICAL SKILLS


Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts such as fractions, ratios, and proportions to practical situations.


CRITICAL THINKING SKILLS


Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
