Job Description - Loan Documentation/Loan Operations Specialist

Founded in 2003, we specialize in commercial & industrial lending, technology and asset-based lending, specialty finance, real estate construction and commercial real estate lending. We have one branch in San Jose along with loan production offices in Redwood City and San Francisco.

Job Summary:
We are seeking a detail-oriented Loan Operations & Documentation Specialist to support our commercial lending team. This role is essential to the loan origination process, ensuring that loan documents are accurately prepared, reviewed, and processed in a timely manner. The ideal candidate will bring expertise in loan documentation, operational processes, and regulatory compliance, along with strong communication and organizational skills.


 


Loan Documentation



  • Prepare, review, and finalize commercial loan documents in accordance with internal policies and regulatory requirements.

  • Collaborate with loan officers, underwriters, and other internal stakeholders to gather required documentation.

  • Ensure all agreements, disclosures, and supporting documents are accurate, complete, and compliant.

  • Use LaserPro to prepare loan documents and related ancillary materials.

  • Review loan approvals and verify required documentation.

  • Check title policies for accuracy; coordinate with title companies to resolve discrepancies.

  • Maintain a working knowledge of Avidbank policies and applicable federal and state banking regulations.

  • Address documentation discrepancies promptly and professionally.

  • Deliver high-quality service to both internal and external clients.

  • Identify and mitigate operational and documentation risks throughout the loan lifecycle.

  • Perform additional duties as assigned.


Loan Operations



  • Perform clerical and processing tasks related to consumer and business loans.

  • Process loan payments and advances; run credit reports.

  • Balance general ledger accounts daily.

  • File and manage UCC documentation and demands.

  • Review executed loan boarding packages and board loans to the core processing system.

  • Upload finalized loan documents to nCino (document storage system).

  • Support audits and special projects as needed.

  • Monitor and manage loan workflows to ensure timely processing and closing.

  • Audit loan files for accuracy and completeness.

  • Collaborate with the team to improve efficiency and streamline operations.



Skills & Qualifications



  • Minimum 3 years of experience in loan documentation and loan operations.

  • Proficient in LaserPro; familiarity with Horizon preferred.

  • Strong computer skills: Microsoft Word, Excel, Outlook.

  • Solid understanding of lending regulations (e.g., RESPA, TRID).

  • Excellent attention to detail and organizational skills.

  • Strong verbal and written communication skills.

  • Ability to manage multiple tasks, prioritize work, and meet deadlines.



Physical Requirements:



  • Prolonged periods of sitting at a desk and working on a computer.

  • Must be able to lift 15 pounds at times.
