Job Description - Loaner Coordinator

Description

The Loaner Coordinator is responsible for managing the dealership's loaner vehicle fleet, ensuring a seamless and positive experience for customers requiring a temporary vehicle while their car is being serviced. This role involves strong organizational skills, excellent customer service, and efficient management of vehicle inventory and scheduling.

Responsibilities:

  • Loaner Vehicle Management:
    • Coordinate the check-out and check-in of loaner vehicles with customers, ensuring all necessary paperwork is completed accurately and efficiently.
    • Maintain a clean, fueled, and well-maintained loaner fleet. Arrange for detailing, fueling, and minor maintenance as needed.
    • Track the mileage and condition of all loaner vehicles upon return.
    • Monitor loaner vehicle availability and proactively communicate any potential shortages or delays to the service advisors and management.
    • Schedule and coordinate the regular maintenance and repair of loaner vehicles.
    • Manage loaner vehicle inventory, including vehicle acquisition and disposal in coordination with management.
    • Ensure compliance with all dealership policies and procedures regarding loaner vehicle usage and liability.
  • Customer Service:
    • Greet customers warmly and professionally, explaining the loaner vehicle program details.
    • Provide clear instructions on vehicle operation, fuel requirements, and return procedures.
    • Address customer questions and concerns regarding loaner vehicles with patience and professionalism.
    • Resolve any loaner-related issues or discrepancies in a timely and satisfactory manner.
    • Maintain a high level of customer satisfaction throughout the loaner process.
  • Administrative and Clerical:
    • Accurately input customer and vehicle information into the dealership management system (DMS).
    • Maintain organized records of loaner agreements, insurance information, and vehicle maintenance logs.
    • Generate reports on loaner vehicle utilization and fleet status.
    • Process loaner vehicle reservations and cancellations.
    • Assist with other administrative tasks within the service department as needed.
  • Communication and Collaboration:
    • Collaborate closely with service advisors, technicians, and sales staff to ensure efficient loaner vehicle allocation.
    • Communicate effectively with customers regarding loaner vehicle status and availability.
    • Report any vehicle damage or issues to the appropriate personnel immediately.
  • Safety and Compliance:
    • Ensure all loaner vehicles meet safety standards and are in good working order.
    • Adhere to all company safety policies and procedures.
    • Stay informed about and comply with relevant local, state, and federal regulations pertaining to vehicle rentals and loaner programs.

Qualifications

  • Demonstrates a high “HQ” (Hospitality Quotient) consisting of kindness & optimism, intellectual curiosity, work ethic, empathy, self-awareness, and integrity.
  • Education: High school diploma or equivalent required.
  • Experience: Previous experience in a customer service role, preferably in a dealership, rental car agency, or similar environment, is highly preferred.
  • Skill: Excellent verbal and written communication skills.
  • Outstanding customer service and interpersonal skills.
  • Strong organizational skills and attention to detail.
  • Proficient with computer systems, including Microsoft Office Suite and dealership management software (DMS).
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Problem-solving skills and the ability to de-escalate customer concerns.
  • Valid driver's license and a clean driving record.

Physical Requirements:

  • Prolonged periods of standing and walking.
  • Ability to lift up to 25 pounds occasionally.
  • Ability to work in various weather conditions when moving vehicles.
  • Must be able to operate a motor vehicle.
