Schlossmann Subaru City is looking for a Loaner Vehicle Coordinator. The Loaner Vehicle Coordinator is responsible for the efficient management of the dealership’s loaner/rental fleet. This role ensures that vehicles are properly tracked, maintained, and ready for customer use. The coordinator works closely with the service department to support customer satisfaction by providing timely and organized loaner vehicle services.

Key Responsibilities:

  Greet and assist customers with loaner vehicle check-in/check-out process.

  
  


• 
  

  Schedule, assign, and manage the availability of loaner vehicles.

  
  


• 
  

  Prepare loaner agreements and ensure customers meet insurance and driver’s license requirements.

  
  


• 
  

  Maintain detailed records of vehicle usage, mileage, fuel, and condition.

  
  


• 
  

  Conduct vehicle walk-arounds before and after each use to check for damages.

  
  


• 
  

  Coordinate with service advisors to align vehicle availability with service appointments.

  
  


• 
  

  Track and manage the loaner fleet inventory using dealership management software (e.g., Reynolds & Reynolds).

  
  


• 
  

  Ensure vehicles are cleaned, fueled, and properly maintained between uses.

  
  


• 
  

  Monitor vehicle maintenance needs (oil changes, inspections, etc.) and schedule service.

  
  


• 
  

  Report damages or issues promptly and coordinate repairs as needed.

  
  


• 
  

  Maintain proper documentation for billing, insurance claims, and inventory records.

  
  


• 
  

  Ensure compliance with dealership policies and insurance requirements.

  Provide excellent customer service to ensure a positive experience during service visits.
