What you will do
- Receiving / Inventory:
- Receive, inspect, and digitally inventory Institute goods.
- Be the primary contact and signatory for all shipment carriers, delivery drivers, and the loading dock staff.
- Organize shipping notices, summarize the order status, and provide the estimated delivery date for all Institute orders.
- Complete receiving of purchases in the ERP system.
- Physically receive all packages and deliver to final recipient.
- Serve as primary contact for all consumables managing communications and resolving issues.
- Assist in the development of inventory tracking for both consumables and high value items. Efforts to include reconciliation to financial records along with forecasting purchases.
- Shipping:
- Own all outbound shipments for the Institute.
- Competitively quote door to door international shipments.
- Create shipping labels, package goods, and coordinate pickup / delivery.
- Transport material between the Institute’s Boston-area locations and partners.
- Facilities:
- Handle facilities maintenance and construction requests. Triage requests via ticket tracking system arrange / project management building contractors.
- Assist with coordination and communication with landlord, vendors and storage facilities.
- Perform minor building repairs and assist with furniture and equipment assembly and moves, as feasible.
- Assist with other facility matters, as needed.
- General:
- Provide other administrative tasks and back up support for other staff as required.

- Proficient in written and verbal communication
- Bonus experience: Google business suite, ERP, logistics and supply chain
- Additional requirements:
- Requires a valid MA driver’s license and a clean driving record
- Ability to lift and carry up to 50lbs unassisted
- Able and willing to break down pallets, walk and stand throughout the day.
- May require frequent visits to remote site (approx 15 min walk)
- Support occasional overtime requests
