Job Description - Logistics and Inventory Administrator

Maintenance & Inventory Administrator

Keep the Parts Flowing. Keep Maintenance Moving. Keep the Plant Running.

Chesapeake Minerals LLC is looking for a Maintenance & Inventory Administrator who knows that keeping a plant running isn't just about the big equipment—it’s also about having the right parts, the right information, and the right people connected at the right time.

Our new quartz minerals processing plant is part of a high-growth specialty business serving industries including consumer electronics, personal care, and automotive. This is an exciting opportunity to join the operation as it grows and play a key role in keeping maintenance, inventory, purchasing, production, and logistics running smoothly.

If you're organized, detail-oriented, good with people, and the type of person who knows exactly where to find that one part everyone suddenly needs—you could be a great fit!

What You'll Do

Keep Maintenance Moving

  • Coordinate parts purchases between maintenance and procurement.
  • Track parts orders, deliveries, usage, and inventory levels.
  • Maintain accurate maintenance and inventory records using electronic tracking systems.
  • Schedule and document planned and unplanned inspections, repairs, and maintenance activities.
  • Help the maintenance team stay ahead of parts needs and minimize equipment downtime.

Own the Inventory

  • Monitor inventory levels and help ensure critical maintenance parts are always available when needed.
  • Receive, organize, track, and document parts and supplies.
  • Maintain accurate inventory records and usage information.
  • Work with maintenance and procurement to identify upcoming needs and avoid running short on critical parts.
  • Keep inventory organized so parts can be found quickly when the pressure is on.

Track What Matters

  • Reconcile, track, and report daily quartz production, customer deliveries, and inventory balances.
  • Maintain accurate records within electronic tracking and ERP systems.
  • Manage purchase orders and help ensure timely closing and accurate billing.
  • Track and report key performance indicators (KPIs) related to orders, production, inventory, and customer fulfillment.

Keep Everyone Connected

You'll work with maintenance, operations, procurement, accounting, logistics, sales, and customers, helping make sure everyone has the information they need.

You may also serve as a first point of contact for customers, helping track orders and providing updates on quantity, timing, and quality fulfillment.

What We're Looking For

We're looking for someone who is organized, dependable, resourceful, and comfortable working in a fast-moving industrial environment.

You'll bring:

  • 3+ years of experience in maintenance coordination, inventory, purchasing, logistics, dispatch, operations, sales support, or a similar role.
  • Direct experience in industrial minerals, aggregates, mining, sand & gravel, or a related operation is required.
  • Strong Microsoft Office skills, including Excel, Word, and Outlook.
  • Experience with ERP, inventory management, or electronic tracking systems.
  • Working knowledge of MSHA regulations, particularly dust control and crystalline silica exposure limits.
  • Strong communication and time-management skills.
  • Excellent attention to detail and organizational skills.
  • A customer-first mindset and the ability to work effectively with multiple departments.
  • Flexibility and adaptability to thrive in a growing, startup-style operation.

Education

  • High School Diploma or equivalent required.
  • Associate degree in business, technical studies, logistics, inventory management, or a related field is a plus.

This Isn't Just a Desk Job

This position works both inside and outside in an industrial plant environment. You'll regularly move between office, inventory, maintenance, production, storage, and shipping areas.

You'll be exposed to dust and airborne particles associated with mineral processing, as well as changing temperatures and weather conditions—including heat, cold, rain, and snow. Appropriate PPE is required.

Physical Requirements

This position requires the ability to:

  • Lift and carry up to 50 pounds.
  • Move, open, and handle boxes, parts, and inventory.
  • Frequently bend, lift, push, pull, reach, and walk throughout the work area.
  • Safely move around production, maintenance, storage, and shipping areas.
  • Wear a respirator and other required PPE when necessary.

Travel

Occasional travel to various company facilities may be required.

Ready to Be the Person Who Keeps the Plant Moving?

If you're someone who loves organization, knows how to keep track of the details, and takes pride in making sure the maintenance team has what they need to get the job done, we'd like to hear from you.
