The Logistics Specialist manages all aspects of logistics for general cargo, including shipping, delivery, and collection. This role serves as the primary link between shipments and customers, ensuring smooth communication and timely deliveries.

Job Purpose

  • Oversee all shipping and delivery operations, ensuring timely and accurate delivery of cargo according to customer requirements.
  • Verify all documentation and shipments to ensure they match, checking that supplies received correspond to invoices for each shipment.
  • Promptly inform customers of any issues related to shipments, such as discrepancies or damage, and follow up until the problem is resolved.
  • Send the appropriate documents for each destination country via email to secure approval for shipping.
  • Coordinate with the destination or customer to address any documentation revisions or changes and maintain communication until shipping approval is obtained.
  • Book cargo space in advance with airlines to ensure availability when needed and cancel bookings promptly if not used to avoid unnecessary charges.
  • Arrange all necessary steps with airlines and destination countries to dispatch authorized shipments efficiently.
  • Prepare daily shipping documents—including Ocasa AWB, HAWB, MAWB, manifests, invoices, and packing lists—to process export shipments according to their destination requirements.
  • Monitor all dispatched shipments to verify arrival at their destinations as scheduled. Address any offloads, flight cancellations, or delays with airlines to obtain relevant updates.
  • Enter inbound and outbound shipment details into the SAP system, including costs, proof of delivery, accounts payable, and tracking information.
  • Immediately notify the appropriate departments of any shipment issues or delays, ensuring all necessary actions are taken and information is clearly communicated to customers.
  • Handle the return or disposal of items when customers cancel or choose not to ship all or part of a shipment.
  • Ensure all shipment information is accurately entered and updated in both the SAP system and the shared drive for complete and up-to-date records.
  • Complete the final processing of DTA shipments upon their arrival at the destination, as applicable.
  • Ensure all required information is properly entered on the “Gestion Documental.”
  • Assist drivers as needed, including loading, unloading, and operating vehicles.
  • Cover driver duties such as pick-ups and deliveries when necessary.
  • Record all export-related expenses in the system to document costs.
  • Carry out additional duties as assigned to support the operations team.

Qualifications & Skills Required

  • At least one year of experience in operations, logistics, or customer service.
  • Proven ability to work collaboratively within a team environment.
  • Demonstrated capacity to manage multiple priorities and responsibilities independently.
  • Strong problem-solving abilities, as well as effective time management and organizational skills.
  • Excellent verbal and written communication skills in both English and Spanish.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Knowledge of SAP is an advantage.
  • High school diploma or equivalent is required.
  • Willingness to occasionally work outside standard business hours to address client needs or urgent situations.
  • Ability to travel occasionally, domestically and internationally, for client visits, industry events, or as part of a force majeure contingency.

Work Setting

  • Primarily office-based, with requirements for extended periods of walking and movement.
  • Regularly lift and carry items weighing up to 50 pounds.
  • Traditional in-person workplace environment.
