Position Overview:
Under the direct and general supervision of the Family Medicine Clinic Manager, the Medical Assistant Training Coordinator (MA Training Coordinator) is responsible for developing, delivering, and maintaining comprehensive training programs for all medical assistant staff. This role ensures that medical assistants are equipped to provide safe, efficient, and high-quality care in alignment with organizational policies, regulatory requirements, and Aviva Health’s culture of excellence. The Coordinator oversees both initial onboarding and ongoing education to support competency, professional growth, and consistent service standards across the organization.
Essential Functions:
Collaborates with Clinic Operations Supervisors and Learning and Development to design, coordinate, and deliver training programs at designated locations and times, ensuring that both new and current medical assistant staff are equipped to perform their roles effectively.
Develops and maintains a structured MA training program for new hire medical assistants, ensuring knowledge, competence, and readiness before assignment to a preceptor or lead medical assistant. Provides remedial training as necessary.
Creates comprehensive lesson plans in collaboration with department leaders, aligning with clinical standards and best practices, and delivers instruction as a subject matter expert with authority and clarity.
Monitors and evaluates trainee progress, identifying performance issues early and providing timely interventions or support to address learning challenges.
Adapts training methods and content to meet the individual needs of learners when appropriate, ensuring equitable learning opportunities.
Administers assessments and practical evaluations to measure trainee understanding, skill acquisition, and instructional effectiveness.
Utilizes diverse instructional methods and media, tailored to the training environment and learner needs, to enhance engagement and retention.
Maintains accurate, up-to-date, and auditable records of training attendance, performance, assessments, and progression.
Participates in quarterly audits and reviews to evaluate documentation practices of trained staff, ensuring alignment with training and organizational standards.
Coordinates with Lead Medical Assistants to facilitate smooth transitions for trainees, including detailed hand-offs and progress updates.
Communicates regularly with Clinical Supervisors regarding staff performance, competencies, and ongoing training needs.
Collaborates with Supervisors and Lead Medical Assistants to coordinate and assist with ongoing competency checks, ensuring medical assistants maintain required clinical skills and adhere to performance standards.
Phlebotomy Training Instructor, ensuring course content, hands-on practice, and assessments meet clinical, regulatory, and organizational standards. Coordinates supervised, competency-based training and verifies proficiency through direct observation and documentation of required successful lab draws.
Serves as an approved exam proctor for Medical Assistants taking the National Healthcareer Association (NHA) certification exams, such as the Certified Clinical Medical Assistant (CCMA) or Certified Phlebotomy Technician (CPT). Ensures all testing protocols are followed, maintains exam integrity, and provides a supportive, distraction-free environment under NHA guidelines.
Partners with cross-functional teams to integrate department-specific protocols and needs into training content as appropriate.
Maintains clinical competency by periodically practicing within the scope of certification to ensure instructional credibility and relevance.
Supports operational effectiveness by assisting in the development and reinforcement of clinic procedures, workflows, and tools essential for medical assistant success.
Promotes compliance by consistently modeling and reinforcing adherence to all organizational policies, procedures, and regulatory guidelines.
Serves as a certified BLS instructor, maintaining required credentials and instructional competency. Assists with scheduling and coordination of BLS certification and recertification for Aviva staff to ensure compliance with organizational and regulatory requirements.
Adheres to all Aviva Health policies and procedures.
Traveling to various clinics as needed to provide training support; use of company vehicle or personal vehicle for business use.
Performs additional duties as assigned, contributing to departmental and organizational goals.
QUALIFICATIONS:
Certified medical assistant through the NHA, AAHA, or NCCT.
Phlebotomy certified through a national certifying body such as NHA.
Minimum of three years as a medical assistant providing direct patient care.
Knowledge of clinical support duties and roles in outpatient primary care/specialty practice.
Excellent oral and written communication skills required.
Excellent interpersonal skills and the ability to train effectively through written, oral, and multimedia presentations are required.
Previous experience in training or teaching, preferred.
Experience and expertise with Athena EHR preferred.
Must be able to multitask, prioritize, organize, and meet deadlines.
Excellence in professionalism, leadership, and reliability.
Keen knowledge and understanding of HIPAA regulations, patient privacy issues, and medical ethics.
Must demonstrate the ability to perform administrative responsibilities efficiently and navigate computer systems and Microsoft products, including spreadsheets, email, and scheduling software.
