Job Description - Maintenance Administrative Assistant


The Opportunity 



  • Administrative Assistant at a growth-oriented energy company.

  • Reporting to the Maintenance Superintendent.


 


Key activities include: 



  • Responsible for the day-to-day office organization, coordination of maintenance operations, procedures, resources, and records retention

  • Perform Timekeeper Role for maintenance employee timesheets and labor cost allocations

  • Maintains up-to-date department records, manuals, policies, and procedures.

  • Administrator of compliance systems, generates periodic compliance reports, conducts review meetings, and maintains recordkeeping documentation

  • Order and maintain office supplies

  • Maintain and update maintenance call out list and vacation scheduling

  • ATOM system administration

  • Creates requisitions, reviews invoices for accuracy, works with Accounts Payable to reconcile discrepancies and process for payment

  • Monitor rates and productivity for frequent vendor activities to control maintenance costs.

  • Provides general support to employees and visitors

  • Web administrator for internal Sharepoint site (Owner/Champion)

  • Schedule and assist with compliance of medical exams and log

  • Serve on various committees to include Aloha United Way, Spill Drill Response, etc…

  • Reliable and engaged in furthering organizational goals, demonstrated by maintaining high standards of personal performance, professional growth, and attendance.

  • Requires overtime, after-hours and weekend hours on occasion.

  • Perform other duties as assigned

Qualifications


To meet the basic qualifications for this role, you will have legal authorization to work permanently in the United States for any employer without requiring a visa transfer or visa sponsorship. [IF applicable—To comply with the regulations at this work location, successful applicants must be eligible to obtain a TWIC card (Transportation Worker Identification Credential). Additional qualifications include:  



  • High school diploma required

  • Advanced business training desired

  • 3 to 5 years related administrative experience in a business and/or manufacturing environment serving multiple clients preferred.  Demonstrated effective customer service skills required.

  • Must have good organizational and accuracy skills. 

  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), OneNote

  • Proficiency in SharePoint, SAP and Navigator preferred. 

  • Highly developed business writing and verbal skills. 

  • Effective interpersonal and customer service skills required.

  • Typing 60wpm

  • Ability to adjust work schedule to accommodate unexpected changes

  • Must maintain confidentiality and act with high ethical standards

  • Must have valid driver’s license and use of personal vehicle may be necessary.

Hiring Range:


The hiring range for this position is $60,000 to $74,000, plus non-discretionary bonus. The candidate selected will be placed according to his/her skills and qualifications.
