Maintenance Assistant

Position Summary

The Maintenance Assistant supports maintenance and facility operations through the coordination of storeroom inventory, purchasing, parts research, material distribution, and vendor relationships. This position helps ensure the timely availability of parts, supplies, and equipment needed to support production, maintenance activities, and facility needs while maintaining an organized and efficient maintenance storeroom.

Key Responsibilities

• 
  

  Manage storeroom inventory by maintaining accurate records, verifying stock levels, assigning bin locations, and ensuring parts and supplies are properly stored and organized.

  
  


• 
  

  Research parts and materials using AS400, Smartsheet, Microsoft Excel, equipment information, diagrams, and vendor resources to identify pricing, availability, and specifications.

  
  


• 
  

  Coordinate purchasing activities by obtaining vendor quotes, processing approvals and purchase order requests, and coordinating with purchasing and vendors to complete orders.

  
  


• 
  

  Receive and distribute materials by verifying shipments against packing slips, stocking inventory, and distributing parts and supplies to the appropriate facilities and departments.

  
  


• 
  

  Support Maintenance Outside Contractors and Production by locating and researching parts, equipment numbers, asset information, replacement materials, and staging parts and supplies.

  
  


• 
  

  Communicate with team members, vendors and suppliers regarding quotes, orders, lead times, shipping, product information, replacements, and inventory replenishment.

  
  


• 
  

  Maintain purchasing and accounting records, including GL codes, cost centers, receipts, purchase orders, approvals, and credit card transactions.

  
  


• 
  

  Purchase and maintain safety, seasonal, facility, and operational supplies while following required approval and purchasing procedures.

  
  


• 
  

  Collaborate with engineering regarding new equipment spare parts by purchasing and shipping documentation, arrival tracking, and add to storeroom locations tied to assets.

  
  


• 
  

  Monitor vendor-managed inventory and support outside contractors by replenishing supplies, maintaining MSDS information, and coordinating parts, materials, document

  Organization & Planning: Prioritizes multiple requests, manages competing deadlines, and coordinates purchasing, inventory, and material distribution activities in a timely manner.

  Computer & Systems Proficiency: Demonstrates proficiency with business systems and software including AS400, Smartsheet, Microsoft Excel, email, and other inventory or purchasing-related applications.

  Customer Service Orientation: Provides responsive support for customers by ensuring parts, materials, and supplies are available when needed and assisting with inventory- and purchasing-related inquiries.

  
  

Qualifications

• 
  

  High school diploma or GED required.  

  
  


• 
  

  One to two years of experience in stocking, storeroom operations, warehouse environments, inventory management, purchasing, or administrative support preferred.  

  
  


• 
  

  Strong verbal and written communication skills with the ability to interact professionally with employees, vendors, contractors, and other stakeholders.  

  
  


• 
  

  Proficient in basic mathematical calculations and inventory-related measurements.  

  
  


• 
  

  Strong organizational and time management skills with the ability to manage multiple tasks and competing priorities.  

  
  


• 
  

  Demonstrated ability to research parts, supplies, and product information and maintain accurate records.  

  
  


• 
  

  Self-motivated with the ability to work independently and collaboratively in a fast-paced manufacturing environment.  

  
  


• 
  

  Detail-oriented with a proactive approach to supporting maintenance and facility operations.  

  
  


• 
  

  Proficient in Microsoft Office applications and capable of learning company-specific software systems.
