Job Summary

Summary: Responsible for overseeing and managing the organization's assets and inventory, ensuring accurate tracking, maintenance, and optimization of assets throughout their lifecycle for the operating room.

-Develop and implement comprehensive asset management strategies, policies, and procedures to ensure effective utilization, maintenance, and tracking of all company assets.
-Define asset lifecycle management processes, including acquisition, deployment, utilization, maintenance, and disposal, aligning with industry best practices and organizational goals.
-Establish asset performance metrics and key performance indicators (KPIs) to evaluate asset utilization, reliability, and cost-effectiveness.
-Establish and maintain an accurate and up-to-date asset inventory, utilizing asset tracking systems, software, or databases.
-Conduct regular physical audits and reconciliations of assets to verify their existence, location, condition, and value.

Experience:
Inventory Management Experience 5-7 years required and Supervisory Experience 2-3 years required

Knowledge, Skills and Abilities:
- Strong understanding of asset tracking systems, software, or databases, and familiarity with inventory management principles and practices.
- Knowledge of asset depreciation, valuation, and financial analysis concepts.
- Proficiency in data analysis and reporting tools (e.g., Excel, asset management software).
- Excellent organizational and multitasking skills, with the ability to prioritize and meet deadlines.
- Strong communication and interpersonal skills.

Reporting jointly to the Operations Director, CSPS and departmental finance leadership, the Manager, Asset Inventory, OR is responsible for overseeing the inventory of durable operating room assets, including surgical instruments, instrument sets, and the systems that support procedural care. This role plays a critical part in ensuring that inventory is accurate, available, and aligned with clinical and operational needs. 

The Manager oversees the full lifecycle of operating room assets, including procurement, repair coordination, replacement planning, and retirement, working closely with Central Sterile Processing & Supply (CSPS), perioperative teams, supply chain, finance, and vendors. The role is directly responsible for maintaining alignment between physical inventory and inventory systems and for ensuring that approved inventory changes are consistently implemented across workflows and systems. 

Operating in a matrixed environment, the Manager, Asset Inventory, OR serves as a key operational and systems partner across Procedural Services. The role regularly interfaces with nursing leaders, surgeons, and operational stakeholders to support inventory-related decision-making, identify opportunities for optimization and standardization, and facilitate system and process improvements that contribute to quality, efficiency, and cost stewardship. 

Supports strategic inventory decision-making and enterprise change initiatives across the AMCs. 

  • Serve as a primary operational advisor for inventory-related decisions that impact clinical operations, including discussions with surgeons, nursing leadership, and procedural administrators. 
  • Facilitate cross-functional decision-making when inventory changes affect multiple stakeholders, balancing clinical needs, operational feasibility, and cost considerations. 
  • Support prioritization and sequencing of inventory and systems initiatives, helping leadership balance competing demands across service lines, sites, and operational constraints. 
  • Translate inventory data, utilization trends, and system constraints into clear options and recommendations to support leadership decision-making. 
  • Support enterprise initiatives involving service line expansion, site-of-care shifts, or technology adoption by assessing inventory implications and coordinating required changes across systems and workflows. 
  • Act as a key operational partner during significant inventory or systems transitions, ensuring decisions are implemented consistently and with minimal disruption to clinical care. 
  • Be accountable for advancing inventory-related decisions from concept through implementation, ensuring agreed-upon actions are completed and reflected across systems and operational workflows. 

 

Develop and implement comprehensive asset management strategies, policies, and procedures to ensure effective utilization, maintenance, and tracking of all company assets.  

  • Oversee inventory management practices for durable operating room assets, including surgical instruments, instrument sets, and related equipment. 
  • Establish standard workflows for inventory control, including receipt, storage, distribution, maintenance, and retirement of assets. 
  • Ensure inventory practices support reliable clinical operations and align with departmental and enterprise standards. 

 

Define asset lifecycle management processes, including acquisition, deployment, utilization, maintenance, and disposal, aligning with industry best practices and organizational goals.  

  • Coordinate procurement, replacement, and retirement of instrument sets and durable assets in partnership with Supply Chain and CSPS leadership. 
  • Oversee repair and refurbishment workflows, including coordination with vendors and internal repair resources to ensure timely turnaround. 
  • Monitor asset condition and utilization to inform lifecycle decisions and capital planning. 

 

Establish asset performance metrics and key performance indicators (KPIs) to evaluate asset utilization, reliability, and cost-effectiveness.  

  • Monitor utilization trends, repair frequency, downtime, and replacement costs to identify improvement opportunities. 
  • Partner with Finance and Analytics to review cost drivers related to inventory, repairs, and asset replacement. 
  • Use performance data to support optimization, standardization, and cost containment initiatives. 

 

Establish and maintain an accurate and up-to-date asset inventory, utilizing asset tracking systems, software, or databases.  

  • Ensure alignment between physical inventory and inventory tracking systems (e.g., instrument tracking, preference card–related inventories). 
  • Oversee completion of inventory updates related to new instruments, replacements, conversions, and retirements. 
  • Maintain data integrity across inventory systems through routine validation and reconciliation. 

 

Conduct regular physical audits and reconciliations of assets to verify their existence, location, condition, and value. 

  • Lead and coordinate physical inventory counts and audits in collaboration with CSPS and procedural teams. 
  • Investigate discrepancies between system records and physical inventory and ensure corrective actions are completed. 
  •  Maintain documentation of audit findings and resolutions.
