The Manager, Benefits and Leave Liaison is responsible for overseeing and administering U.S. leave of absence and workers’ compensation programs, serving as a key liaison between internal stakeholders and external vendors.
As a business liaison to the HR Total Rewards team this role will manage business processes including contracts, invoicing, and billing.
This role ensures compliance with federal and state regulations and delivers a consistent, positive employee experience.
The position partners closely with HR, Payroll, Legal, Finance, and third-party administrators to ensure accurate, timely, and compliant execution of programs.
This role will be hybrid between your home office and our San Carlos, CA, offices.
Essential Functions of the Job:
Leave of Absence Management
Coordinate the end-to-end U.S. leave of absence and accommodation process with our third-party vendor.
Act as the primary point of contact for leave vendors and third-party administrators, ensuring service level expectations are met.
Ensure leave programs are administered consistently, accurately, and in compliance with federal, state, and local regulations.
Partner with HR Business Partners, Payroll, and Legal to resolve complex leave cases and escalations.
Monitor regulatory changes and assess impact to leave policies and practices.
Workers’ Compensation
Oversee U.S. workers’ compensation reporting processes, including coordination with internal teams and external carriers or administrators.
Ensure timely and accurate reporting of claims and required documentation.
Partner with Risk Management, Legal, and Finance as needed on claims management and audits.
Vendor, Contract, and Financial Management
Manage business processes related to total rewards, benefits, and leave vendors, including contracts, renewals, invoicing, and billing reconciliation.
Review and validate vendor invoices to ensure accuracy and alignment with contractual terms.
Collaborate with Finance and Procurement to support budgeting, forecasting, and payment processes.
Support vendor performance reviews and continuous improvement initiatives.
Process Improvement & Reporting
Evaluate and improve benefits, leave, and related administrative processes to enhance efficiency and employee experience.
Develop and maintain documentation, workflows, and standard operating procedures.
Prepare reports and metrics related to leave utilization, vendor performance, compliance, and costs.
Support internal reviews and data requests related to leave, workers’ compensation, and vendor management.

Computer Skills:
Proficiency with HRIS and leave management systems (e.g., Workday, ADP, Sedgwick, Matrix, Unum, Alight, AbsenceSoft)
Experience with payroll systems and HR/payroll integrations
Strong Microsoft Excel skills and comfort working with reports and data
Working knowledge of Microsoft Office
Experience with vendor portals and case management systems
Familiarity with contract tracking, invoicing, and billing systems
Ability to generate and interpret reports and metrics

High level of discretion and confidentiality
Problem-solving mindset with a focus on compliance and employee experience
Other Qualifications:
Required
5+ years of experience in benefits administration, leave of absence management, or a related HR function.
Strong working knowledge of U.S. leave laws (FMLA, state leave programs) and workers’ compensation processes.
Experience managing third-party vendors and external partners.
Proven ability to manage contracts, invoicing, and billing processes.
Strong attention to detail and ability to manage multiple priorities in a fast-paced environment.
Preferred
Experience working in a multi-state or complex regulatory environment.
Familiarity with HRIS, leave management systems, and payroll integrations.
Project management or process improvement experience.
Professional certification (e.g., CEBS, SHRM-CP/SHRM-SCP, PHR/SPHR).
