Job Summary

The Operations Information Management Manager is responsible for managing the document control and information management function while also developing, implementing, and improving processes for the management of operational, engineering, maintenance, and technical records. As part of a newer and growing company, this role will help build foundational information management processes, establish standards, and partner with other departments to create consistent, sustainable ways of working.
This position works closely with Operations, Maintenance, Engineering, Projects, Operational Technology, PSM, Procurement, IT, and other business groups to define documentation requirements, improve workflows, close process gaps, and ensure critical information is accurate, controlled, accessible, and aligned with business needs.
The role requires someone who can both supervise day-to-day document control activities and take ownership of process development, cross-functional coordination, change management, and continuous improvement.

Duties/Responsibilities

Team Supervision & Leadership
•    Supervise the daily activities of the Information Management and Document Control team.
•    Assign, prioritize, and monitor document control work to ensure timely completion of tasks.
•    Provide coaching, guidance, and performance feedback to team members.
•    Support employee development, training, and cross-training within the document control function.
•    Ensure team members follow established procedures, standards, workflows, and quality expectations.
•    Monitor workload, backlogs, priorities, and resource needs.
•    Promote accountability, accuracy, teamwork, and continuous improvement within the team.
Process Development & Cross-Functional Improvement
•    Develop, document, and implement information management and document control processes for a newer and growing organization.
•    Partner with Operations, Maintenance, Engineering, Projects, PSM, Procurement, IT, and other departments to identify documentation needs, process gaps, and improvement opportunities.
•    Create standard workflows for document review, approval, revision, issuance, retention, closeout, and archival.
•    Build clear roles and responsibilities for document ownership, review cycles, MOC documentation updates, controlled documents, and technical records.
•    Facilitate working sessions with stakeholders to define current-state challenges and future-state processes.
•    Develop procedures, work instructions, templates, checklists, and training materials to support consistent execution.
•    Support change management efforts when new processes, systems, or documentation expectations are introduced.
•    Ensure processes are practical, sustainable, and aligned with how Operations, Maintenance, and Engineering teams perform their work.
•    Monitor process effectiveness and recommend improvements based on feedback, audit findings, backlog trends, and business needs.
Document Control Oversight
•    Oversee the control, maintenance, and organization of operational, engineering, maintenance, and technical documentation, including:
       P&IDs, PFDs, and engineering drawings
       Electrical, instrumentation, mechanical, civil, and structural documents
       Equipment data sheets
       Operating procedures
       Maintenance procedures
       Vendor documentation
       Asset records
       Project turnover documents
       Controlled documents and technical records
•    Ensure document revisions are properly reviewed, approved, issued, archived, and retained.
•    Maintain document metadata, numbering standards, revision history, and version control.
•    Support the use and improvement of electronic document management systems and information repositories.
•    Ensure controlled documents are searchable, accessible, accurate, and reliable for end users.
Management of Change Support
•    Supervise document control activities related to the Management of Change process.
•    Ensure affected engineering documents, procedures, records, and drawings are identified and updated as part of MOC execution.
•    Work with Engineering, Operations, Maintenance, PSM, and other stakeholders to confirm documentation impacts.
•    Track MOC documentation deliverables and support timely MOC closure.
•    Participate in MOC reviews, status meetings, audits, and follow-up activities as needed.
•    Help identify gaps in MOC documentation processes and recommend improvements.
•    Ensure MOC-related documentation updates are completed in accordance with company procedures and operational requirements.

Duties/Responsibilities Cont'd

Operations, Maintenance & Engineering Support
•    Partner with Operations to ensure operating procedures, controlled documents, and operational records remain current and accessible.
•    Partner with Maintenance to ensure maintenance procedures, equipment records, asset documentation, and technical information support reliable execution of work.
•    Partner with Engineering to ensure technical documentation is accurate, complete, and aligned with current facility conditions.
•    Coordinate document updates resulting from engineering changes, maintenance activities, reliability improvements, and operational needs.
•    Support project document turnover and ensure required deliverables are received, reviewed, and incorporated into company systems.
•    Assist with as-built documentation efforts, engineering record clean-up initiatives, and operational readiness activities.
Information Management Governance
•    Partner with HQ IM to establish and maintain standards for document naming, numbering, metadata, revision control, retention, ownership, and access.
•    Support the development of governance practices for operational information, engineering records, maintenance documentation, and controlled documents.
•    Help define what information should be controlled, where it should be stored, who owns it, and how it should be maintained.
•    Ensure documentation processes support safe operations, audit readiness, regulatory compliance, and long-term operational reliability.
•    Work with leadership to prioritize information management improvements and roadmap future process maturity.
Department Partnership
•    Serve as a liaison between Information Management and key departments including Operations, Maintenance, Engineering, Projects, OT, PSM, Procurement, and IT.
•    Build strong working relationships with department leaders and subject matter experts.
•    Help departments understand document control requirements and their responsibilities for maintaining accurate records.
•    Support departments in developing document practices that meet operational needs while staying aligned with company standards.
•    Provide guidance and training to stakeholders on document control, MOC documentation, records management, and information governance expectations.
Compliance, Quality & Continuous Improvement
•    Ensure document control activities comply with company procedures, regulatory requirements, audit expectations, and records retention standards.
•    Support internal and external audits related to documentation, records, MOC, and information management.
•    Review document control metrics, aging reports, backlog status, and quality trends.
•    Identify opportunities to improve document workflows, team efficiency, data quality, and user experience.
•    Support updates to procedures, work instructions, training materials, and document control standards.
•    Drive continuous improvement initiatives that improve the quality, consistency, and accessibility of operational information.

Essential Functions

Minimum Qualification/Work Experience

Minimum Education Required:    High School Diploma or equivalent
Minimum Experience Required:    12 years of Operations Information Management 
Preferred Education:            Associates Degree in Business or related discipline
Preferred Experience:           10 years’ experience in the area of Operations Information Management in energy, EPC or owner/operator’s facilities and quality assurance in regulated industry.
                Experience supporting Management of Change processes.
                Experience in LNG, oil and gas, petrochemical, chemical processing, manufacturing, power generation, or another industrial operating environment.
                Experience supporting project turnover and as-built documentation.
                Experience facilitating process-mapping sessions, stakeholder workshops, or continuous improvement initiatives.            

Required Knowledge/Skills/Abilities

•    Experience working with Operations, Maintenance, Engineering, Projects, or Technical Services teams.
•    Experience developing or improving business processes, procedures, workflows, or document control standards.
•    Experience working cross-functionally with multiple departments to identify gaps and implement process improvements.
•    Experience supporting organizational growth, new systems, new processes, or maturing business functions.
•    Ability to build structure in an environment where processes may still be developing.

HSE Roles and Responsibilities

Support the policies, efforts, and programs of Freeport LNG Health, Safety and Environmental (HSE) Management System.  Actively participate in the HSE Management System Policies.  Ensure that HSE concerns are given priority in all activities completed within their area of responsibility.  Implement routine inspections to ensure safe operating conditions.

Working Conditions and Physical Expectations

Work Environment
This position operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers/fax, filing cabinets, etc.
Physical Demands
The physical demands described here are representative of those that must be met by an incumbent to successfully perform the essential functions of this job.
This is primarily a sedentary role; however, the incumbent must be able to stand and/or sit continuously to perform all essential job functions for a full shift.
•    Ability to lift up to 20 lbs. as required in order to lift files, boxes and office equipment as necessary.
•    Ability to lift files, open filing cabinets and bending, standing on a stool, or climbing as necessary to perform these functions.
•    While performing the duties of this role, the incumbent may be required to talk or hear.
•    The incumbent is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
•    Ability to drive to other Company work locations as required.
•    Ability to move throughout all areas of each office/site location and facilities.
