Job Description - Manager of Crew Scheduling


The Manager of Crew Scheduling leads the Crew Scheduling team in developing and executing efficient, compliant, and customer-focused schedules for aircraft and flight crews. This position ensures optimal use of crew resources, supports internal stakeholders, maintains recovery options, and strategically aligns scheduling operations with company goals. The Manager provides guidance and oversight for schedule planners, handles escalations, and drives continuous improvement in scheduling processes and tools.


Requirements

Essential Duties and Responsibilities

  • Lead, mentor, and develop the Crew Scheduling team, ensuring consistent application of company policies, scheduling best practices, and regulatory compliance.
  • Oversee crew and aircraft scheduling to meet or exceed client expectations while optimizing efficiency, cost, and operational effectiveness.
  • Collaborate with internal teams (Client Advisors, Maintenance Control, Training, Dispatch) to ensure alignment across scheduling, training, maintenance, and client needs.
  • Provide strategic input and support for staffing plans, crew resource management, and fleet planning initiatives.
  • Ensure compliance with pilot qualification, currency, duty/rest regulations, and other FAA/Part 135 requirements.
  • Resolve high-level conflicts involving crew coverage, maintenance, or client requirements, escalating as needed.
  • Monitor and analyze performance metrics and crew utilization data to drive operational improvements and service delivery.
  • Approve or advise on schedule changes that may impact costs, safety, or contractual obligations.
  • Support the implementation of scheduling software, process improvements, and technology solutions (e.g., FL3XX).
  • Act as liaison between the scheduling team and leadership, contributing insight on crew availability, fleet status, and operational constraints.
  • Coordinate emergency and recovery planning in the event of IROPs or unexpected disruptions.
  • Uphold safety culture through proactive hazard reporting and adherence to operational standards.
  • Serve as an escalation point during off-hours and contribute to on-call coverage as required.

Qualifications

  • Minimum of 4 years’ experience in aviation scheduling or crew planning, with at least 2 years in a leadership or supervisory capacity.
  • Strong knowledge of Part 135 charter operations, including crew qualification, duty/rest rules, and operational control.
  • Proven ability to lead a team in a fast-paced, high-pressure environment with strong decision-making and conflict resolution skills.
  • Demonstrated experience in building and maintaining efficient scheduling strategies under changing operational demands.
  • Bachelor’s degree in Aviation, Aviation Management, or a related field preferred; equivalent experience considered.
  • Strong analytical, communication, and organizational skills.
  • Proficiency in Microsoft Office Suite and flight scheduling systems (FL3XX experience preferred).
  • Pilot or FAA Dispatcher certificate preferred.

Work Environment & Physical Requirements

Office-based position requiring extended time at a desk and use of a computer and phone. May occasionally lift up to 35 lbs. Moderate noise level typical of an office setting.
