This position will be responsible for managing all HOA communications and oversee administrative support to the HOA administration function of the legal services department. Employees in this job are responsible for the coordination and performance of detailed communication and administrative responsibilities for multiple timeshare associations. This position is also responsible for writing, compiling and reviewing various documents to ensure legal compliance, accuracy, effectiveness, correct spelling, and grammar. The employee will oversee a team to ensure that all meeting minutes, and owner communications are delivered in a timely manner and are compliant with legal requirements, brand standards and board directives.
ESSENTIAL DUTIES AND TASKS:
1. Manage and develop content for HOA owner communications and association boards of directors’ public relations communications including mail, email and 27+ websites. This includes creating new websites to align with company growth, writing, developing, formatting, review and maintenance of informational, error-free content for multiple associations ensuring consistent core messaging and legal compliance. Proofreading (including employee’s own copy and that of others). Writing and development of content for HOA communications to members of the boards of directors including policies, training manuals, and general communications.
2. Writing and development of content for all HOA communications to owners including, but not limited to e-blasts, Annual Owners' Meeting Notices, Budget Notices, newsletters and an annual magazine and ensuring compliance with association legal documents and individual state timeshare and owners’ association statutes. Assist in the coordination of the printing and mailing of these communication pieces. Assist in the development and management of the association communications calendar and development of presentations and presentation templates. Create and maintain various data matrices.
3. Manager resource allocation to ensure legal deadlines are met for association board meeting agendas, notices and meeting materials. Oversees administrative staff in the review of draft association meeting minutes. Telephonic attendance at all association Board of Directors meetings.
4. Facilitate reading, researching and responding to Board and owner correspondence.
5. Perform other related duties and departmental functions as assigned.
