Order Fulfillment Manager oversees the entire order fulfillment process ensuring the timely and accurate processing of orders from start to finish. This includes overseeing the work of yard part pullers, order fulfillment and shipping associates, quality control associates, return associates, and delivery drivers (if applicable) to ensure that orders are fulfilled according to customer expectations and quality standards. In addition, this position is responsible for monitoring and analyzing key performance indicators related to order fulfillment, such as order accuracy, order cycle time, and order fill rate, and developing and implementing strategies to improve performance in these areas.
Key Responsibilities and Essential Job Functions
Drive Fulfillment
Manage and oversee the entire order fulfillment process, from receiving orders to shipping out parts to customers.
Ensure customer orders are accurately fulfilled promptly while maintaining high productivity, quality, and safety.
Maintain packaging standards and quality of part shipments.
Manage the safe transportation and efficient delivery of orders and pick-ups.
Coordinate with other teams to meet and exceed fulfillment goals and customer expectations.
Streamline order fulfillment processes, optimize resource allocation, and reduce waste to improve overall operational efficiency and reduce costs.
2. Inventory
Monitor shipping supply inventory levels and work with other departments to ensure products are in stock and available for order fulfillment.
Inventory level regulation-Including cycle counts and replenishment orders.
Monitor timely part resolution processes.
Monitor the returns department to ensure prompt and accurate processing.
3. Customer Relations (Internal & External)
Ensure that all customer orders are processed accurately, efficiently, and in a timely manner, to meet or exceed expectations.
Help create a positive work environment that boosts employee morale and reduces turnover.
4. Staff Management
Hire and manage staff consisting of yard part pullers, order fulfillment associates, shipping associates, quality control associates, return associates, and delivery drivers (as applicable for the site)
Train new employees in the company's policies, procedures, and safety regulations.
Conduct ongoing training sessions to improve the skills and knowledge of the team.
Provide staff with direction, guidance, and feedback to ensure team members are motivated to meet or exceed productivity and quality standards.
Ensure teams are working together efficiently and effectively. This involves coordinating schedules, prioritizing tasks, and ensuring that all team members are communicating effectively.
Conduct regular performance reviews for each team member.
Take appropriate disciplinary action or assist in investigating when employees violate company policies or fail to meet performance standards. This may involve verbal warnings, written warnings, suspension, or termination.
5. Administration
Maintain a thorough understanding of all functions at the facility.
Manage employee staffing, including hiring, performance coaching, discipline, reviews, termination, absence coverage for supervisors, overtime, and shift planning.
Verify the accuracy of payments from delivery routes.
Execute site-level reporting activities.
Assist in the development and maintenance of the environmental compliance of the facility. This includes reporting, testing, and keeping up to date on local and state environmental laws and regulations.
Ensure all activities within the department are in compliance with company policies and procedures and applicable laws and regulations.
6. Monitor KPIs, Manage Reporting
Create monthly reporting to support KPI tracking.
Reports KPIs and financial statements for initial reporting cycles.
Monitor and report on Site and Fulfillment KPIs.
7. Continuous Improvement
Analyze and continuously improve workflows and processes to increase efficiency and safety.
Identify areas for process improvement and implement solutions to improve efficiency and accuracy.
Participate in two Continuous Improvement projects annually.
8. Safety
Ensure compliance with safety regulations and company policies.
Accountable for accurate and timely reporting of safety violations or incidents.
Actively participate on a Safety Committee, and continuously work with team members to improve safety habits and procedures.
9. Perform Other Duties as Assigned
Fill in and assist with various positions when those positions are short-staffed or when workload demands require additional support.
Requirements
Qualifications & Requirements
A high school diploma or GED is required. A bachelor's degree in a related field preferred.
3-5-years of Auto Salvage Yard experience, order fulfillment, warehouse, logistics or related work experience required.
Minimum three (3) years of experience in a supervisory or leadership role in a warehouse or logistics or automotive field environment, including understanding inventory management and operating material handling equipment, preferred.
Valid Driver’s license with Medical DOT card (may obtain on the job) as applicable.
Strong leadership skills.
Must have automotive knowledge (different types of automotive parts, including their function, location, and compatibility with other parts).
Strong written and verbal communication skills are required with a commitment to act with an elevated level of professionalism during all transactions both internally and externally.
Ability to communicate effectively with a variety of individuals.
Receptive to management development suggestions and willing to seek additional knowledge to facilitate job growth.
Advanced MS Office proficiency, including Excel skills (vlookups, advanced formatting, etc.) and MS Word; NetSuite (or similar ERP/IMS) system experience preferred.
Possess strong relationship-building skills, able to provide and model leadership behaviors, including defusing conflict and mentoring others.
Ability to perform work activities requiring reasoning, negotiating, instructing, persuading, or speaking with others and respond appropriately to criticism.
Ability to work in a fast-paced environment and handle multiple tasks simultaneously.
Ability to interpret HR regulations, safety rules, operating and maintenance instructions, and procedures manuals.
Must be able to work collaboratively across functions. Share expertise with others.
Must be a self-starter with the demonstrated ability to meet timelines and schedules related to essential functions described above.
Must demonstrate strong attention to detail, and organizational and problem-solving skills with the ability to prioritize and manage multiple tasks.
Understanding of basic financial statements and budgeting.
Familiarity with local, state, and federal regulations regarding salvage yards.

Ability to lift, move, and carry objects and materials up to 50 lbs. with or without assistance.
Ability to work across time zones to meet business goals.
