Job Description - Marketing Coordinator

Description

Join our team as a Marketing Coordinator with Sunnyside! 

Location: 3935 Sunnyside Drive Harrisonburg VA 22801

Hours: 8:30 am-5:00 pm, Monday-Friday, 32 hours/week

 Position Overview & General Responsibilities:  The primary responsibilities of the Marketing Coordinator are to provide administrative support, manage marketing data, and to execute the coordination of events. The Marketing Coordinator will communicate and engage directly with prospects, depositors and their families, as well as, staff. Play a key role in implementing programs associated with retention of the depositors during the reservation and sales process.    

 

General Marketing Support: 

  • Assist with all aspects of the Marketing Plan, as directed by the Marketing Director.
  • Be responsive to the needs of the marketing team.
  • Practice good stewardship with time, materials, and other resources.
  • Monitor and maintain inventory of all office supplies and marketing materials as needed and approved, including brochures and sales tools.
  • Entry and management of new leads into the A-Line database.

Communication & Administrative Duties: 

  • Manage incoming calls and web inquiries.
  • Forward inquiries to the appropriate marketing counselor or department.
  • Maintain the Sources of Inquiry Spreadsheet for consistent lead rotation

Office Organization & Communication:

  • Maintain a clean and well-ordered marketing office environment.
  • Handle marketing mail and email—both incoming and outgoing, including bulk mailings and e-communications.
  • Maintain lead and resident files.
  • Send out monthly Funside and other communications, including email blasts and other correspondence.

 Event Planning & Execution: 

  • Coordinate the planning, collaboration, and execution of special events, including
  • Logistics, timelines, budgets, room reservations, set-up/teardown, maintenance requests, invitations, menu planning, RSVPs, name tags, etc.
  • Ensure the goals, vision, and requirements of each event are met.

 Move In Coordination & Resident Experience:

  • Support the move-in process with exceptional customer service.
  • Complete multi-level follow-up with new residents.
  • Communicate and coordinate all moves with relevant departments (maintenance, housekeeping, dining, residential living).
  • Prepare Welcome Kits and gift bags for all move-ins.
  • Monitor and assist with the staging of marketing Staycation residences, including organizing and restocking Staycation items and assembling overnight guest baskets

 Guest Services & Sales Assistance: 

  • Welcome and greet guests when marketing staff is unavailable.
  • Provide tours to prospects or family members with a focus on setting appointments for the sales team.
  • Handle sales activity as needed in the absence of the marketing staff.

Requirements

  • Education/experience equivalent to an Associate’s Degree in marketing or related field preferred.
  • Team player with effective human relations skills and desire to work with the senior population.
  • Strong attention to detail, as well as ability to multi-task with proven organizational skills.
  • Self-starter with leadership skills, oriented to accomplishing goals. 
  • Ability to work with confidential information and maintain its’ integrity in compliance with the Health Insurance Portability and Accountability Act (HIPPA).
  • Ability to process information accurately, make appropriate decisions and take appropriate action based upon the information available.
  • Proven written and verbal communication skills, including service-oriented phone etiquette.
  • Experience with database management preferred.
  • Able to operate personal computer, printer, copy machines and other general office equipment. Proficient with Microsoft Office (Word, Excel, Publisher, PowerPoint).
  • Current Virginia driver’s license, meeting driver eligibility requirements per Sunnyside policy HR069. Must be willing to use personal vehicle for tours and off campus functions, with mileage reimbursement. 
  • Excellent customer service skills; maintain a hospitality approach to engaging with all individuals.

Physical & Environmental Considerations: 

Normal lighting levels, temperature ranges, air quality,   ventilation, and noise levels; will require some work outdoors in various weather conditions. Lifts carries, push or otherwise manipulate equipment and office materials weighing up to 25lbs.   Always use proper lifting and moving protocols and techniques. Considerable walking and standing; up to eight hours on occasion, driving automobile as well as climbing stairs. Minimal hazards commensurate with general office conditions with driving and/or riding in motorized vehicles.
