Marketing Programs & Experience Manager

Job Description - Marketing Programs & Experience Manager

Horner & Shifrin is seeking a Marketing Programs & Experience Manager to support the firm’s business development and marketing efforts. This role leads the planning, execution, and evaluation of the firm’s marketing programs, including conferences, client events, internal gatherings, award submissions, and cross-functional initiatives with defined objectives and timelines.

POSITION RESPONSIBILITIES/DUTIES:

  • Build and maintain the firmwide annual event calendar and recommend the event portfolio with rationale tied to market strategy and prior-year results.

  • Work with Business Unit Leaders and Regional Managers to define objectives and staffing before the firm commits: who is attending, who they are there to meet, and what success looks like.

  • Own execution end-to-end: registration, exhibit space, booth logistics, collateral and promotional inventory, staffing plans, and on-site management when required.

  • Establish a consistent pre-event, at-event, and post-event protocol with the Pursuits and Business Development teams, including lead capture and CRM handoff within a defined window.

  • Coordinate logistics with approved vendors and venues, and submit related expenditures for review and approval in accordance with firm purchasing procedures.

  • Maintain the firmwide sponsorship portfolio with an annual renewal review and a single view of total committed spend.

  • Plan and execute client-facing project events: groundbreakings, ribbon-cuttings, open houses, and project milestone celebrations.

  • Report performance by event and recommend annual adds, cuts, and reallocations.

  • Lead go-to-market execution for new office and market launches and new service line or capability rollouts: rollout of positioning and capability messaging developed with Brand & Content, launch collateral, internal enablement, and market announcements.

  • Lead acquisition integration marketing: execute the brand transition plan defined with Brand & Content, employee and client communications sequencing, collateral conversion, and digital and directory updates.

  • Produce a charter for each major initiative — scope, objectives, milestones, dependencies, and named owners across functions; maintain a high-level status view; and close each initiative with a summary of what was delivered and what carries forward.

  • Maintain a single prioritized view of active initiatives and bring capacity conflicts to the Interim CMO for resequencing, as appropriate.

  • Plan and execute firmwide and office-level internal events: all-staff meetings, employee-owner and ESOP milestones, anniversaries, and culture and holiday programming.

  • Coordinate with Brand & Content on employer brand messaging, and track participation and feedback to adjust the portfolio over time.

  • Own the firmwide awards calendar across segment, project, employer, and individual programs.

  • Recommend an annual submission slate based on strategic fit and likelihood of winning.

  • Manage submission production, drawing technical content from project teams and narrative and visual support from Brand & Content.

  • Own the speaking and conference abstract calendar: track calls for abstracts and presentations, secure submissions from technical staff against deadlines, and coordinate presentation support with Brand & Content.

  • Route wins and speaking placements to Pursuits and Brand & Content for use in proposal content, client communications, announcements, and recruiting material.

  • Coordinate with Brand & Content for brand standards, content, and design support, requesting shared team capacity with adequate lead time and defined deliverables.

  • Coordinate with the Pursuits team so event, award, and initiative work supports rather than collides with active proposal deadlines.

  • Contribute to marketing team planning, budgeting, and reporting cycles.

  • Perform other duties as assigned.

POSITION REQUIREMENTS:

  • Five to seven years in marketing, events, or program management, including direct ownership of an event or program calendar.

  • Demonstrated ability to manage multiple concurrent projects against competing deadlines, and to deliver complex programs without dedicated staff support.

  • Demonstrated ability to secure commitment from senior leaders and subject matter experts without direct authority over them.

  • Proficiency with Microsoft 365, CRM, and project management tools. Deltek Vantagepoint experience preferred.

  • Experience in engineering, architecture, construction, or another professional services environment with a seller-doer culture, preferred.

  • Familiarity with AEC industry associations, conferences, and award programs, and experience supporting M&A integration or a new office or market launch, preferred.

  • Must possess a valid driver’s license

  • Must complete a background check

EDUCATIONAL REQUIREMENTS:

Bachelor’s degree in marketing, communications, business, event management, or a related field, or equivalent experience.
