Materials Manager

Description

To assist in providing quality patient care through the cost containment and maintenance of all hospital supplies Coordinates removal of all waste disposable and hazardous material. Maintains preventive and maintenance records on all major equipment. Requires analytical, organizational and effective communication skills. Requires problem solving abilities and assertiveness.

Essential Duties and Responsibilities:

• Demonstrates effective leadership and decision making skills 
• Appropriately utilizes effective management resources for problem resolution.
• Adheres to all hospital policies procedures and standards
• Order and monitor all Hospital supplies that are needed for the Hospital as requested by the Chief Nursing Officer.
• Check routinely and maintain the condition of supplies.
• Monitor basic supply costs by inviting solicitation and bidding from vendors and verifying costs, excluding instruments, equipment and vendors and verifying costs, excluding instruments, equipment and supplies that are controlled by the Chief Nursing Officer.
•  Facilitate proper handling of packing slips, purchase orders and invoices to ensure proper documentation is provided for timely payment of supply invoices.
• Order specialty items requested by the Director of Surgery and Chief Nursing Officer pertinent to procedure.
•  Assure that supplies are rotated and outdated items removed from shelf.
•  Replace needed stock with substitute item after approval from Director of Surgery or Chief Nursing Officer for specific service.
• Responsible for maintaining an accurate accounting of all supplies in the Hospital through quarterly hands-on inventory assessment.
•  Ensure that supplies are received in a timely manner
• Investigate through the bidding process, and evaluation of cost effective savings regarding disposable and permanent assets with the Chief Nursing Officer’s guidance.
• Monitor supplies for damage prior to surgery distribution and acceptance of products from Vendor.
• Verify delivery of supplies.
• Disburse supplies to appropriate area.
• Maintain appropriate inventory levels to ensure uninterrupted service to patients. Communicate with the Director of Surgery and Chief Nursing Officer level is unattainable.
•  Assure that loaning/borrowing or rental of items or equipment are documented to ensure that equipment is returned in a timely manner and in good condition; this will be done wit the assistance of Chief Nursing Officer as needed.
•  Maintain preventative maintenance records on all major equipment.
• Assume the responsibility for needed repairs or replacement of instrumentation with appropriate verifying documentation of approval by Chief Nursing Officer.
• Maintain file records of purchase orders originating from the Materials Manager’s office.
• Coordinate the removal of Bio-Hazard waste and waste disposal between the Hospital and the designated Licensed Medical Waste disposal company.
• Arrange for backup coverage for purchasing needs in the absence of Materials Manager. 
• Return for credit all incorrect supplies, equipment/instruments received in Hospital with appropriate paperwork for records.
• Performs other duties as assigned.

Experience and Education:

• Bachelors Degree preferred
•  A minimum of 2 years experience working in Materials Management
