Job Description - Media Cost Administrator

We are hiring a Media Cost Administrator.  This person is a key player in our monthly billing cycles and will be responsible for handling high volumes of invoices and documents. The Media Cost Administrator needs impeccable attention to detail and superior organizational skills while working to tight deadlines. We’re seeking someone with a strong work ethic who prides themselves on being punctual and reliable. Some accounting or administrative experience is helpful. The media cost team is in our accounting department, but experience in accounting is not required. If you are positive, proactive, organized, and inquisitive, we want to meet you.


Purpose


The Media Cost Administrator plays a crucial role in ensuring the accuracy and efficiency of our monthly billing cycles by managing high volumes of invoices and documents. This position requires exceptional attention to detail, strong organizational skills, and the ability to meet tight deadlines. While part of the accounting department, prior accounting experience is not required—rather, a proactive, reliable, and inquisitive approach is key to success. This role is ideal for a dedicated professional who takes pride in their work ethic and thrives in a fast-paced, detail-oriented environment.


Responsibilities



  •   File media vendor invoices (hard copies and electronic)

  •   Assist with EDI invoicing system

  •   Reconcile vendor invoices to internal purchasing/planning software

  •   Create Excel spreadsheet to manage vendor contacts

  •   Call vendors for missing invoices

  •   Assist with month-end scanning of billing folders

  •   Maintain internal billing files

  •   Assist with other projects and assignments as required


Qualifications



  •   Ability to learn new technology and processes quickly

  •   Proficient in Excel

  •   Proactive; strong ability to work independently 

  •   Excellent attention to detail

  •   Highly organized with superior multi-tasking skills

  •   Experience working to tight deadlines; sense of urgency

  •   Ability to communicate with clients, vendors, and colleagues effectively and professionally

  •   Must be able to work onsite in Irvington, NY, three (3) days per week.


 


Salary Range


Our estimated range for this role is $45k - $55k


Compensation packages are based on the skill level and experience each candidate brings to their role. There may also be a more senior or junior position available that could be a better fit with your expertise. Each level has its own compensation range.
