Medical Assistant Hematology

Under the supervision of a clinical leader, guided by the policies and procedures of Ambulatory Services, and in collaboration with clinic leaders, the Hospital Assistant III assists in the delivery of care to patients in multiple Cancer Center ambulatory group practices. This position supports various cost centers within the Cancer Center across multiple campuses and satellite offices. Responsibilities include a variety of patient-focused clinical and administrative tasks in support of specialty care services. The incumbent is expected to learn and assist in all Cancer Center specialty practices.

Key Responsibilities:

Clinical Support

• Validate and document patient-reported information.
• Perform routine clinical functions and document in the patient chart, including fall risk assessments, vital signs, height, weight, pain screening, and chief complaints.
• Follow established safety, environmental, and infection control standards.
• Document interpreter use as appropriate and coordinate interpreting services for patient appointments.
• Assist with medication reconciliation by helping patients update medication lists.
• Assist nurses, providers, and patients in preparation for examinations and procedures.
• Perform outpatient sterile processing procedures, including Cidex OPA, and maintain required logs.
• Assist with complex medical procedures such as colonoscopies, biopsies, and ultrasounds.
• Complete required competencies to support procedures safely and effectively.
• Serve as a chaperone for medical providers as needed.
• Transport patients safely as directed.
• Monitor patient flow throughout the clinic.
• Perform simple point-of-care testing, including quality assurance and quality control activities.
• Obtain specimens and perform simple laboratory procedures in accordance with specimen handling policies.
• Maintain required clinic logs, including temperature, disaster cabinet, and crash cart logs.
• Comply with all Ambulatory Services and Medical Center policies related to infection control, safety, administrative, and clinical practice.
• Identify and communicate issues to the care team and supervisor.
• Notify providers of patient delays and service concerns while advocating for timely patient care.
• Maintain clean, organized, and well-stocked exam rooms, hub rooms, and laboratory areas.
• Order and maintain clinical supplies as directed.

Patient Care Coordination

• Manage clinical team in-basket messaging, staff messages, telephone encounters, and patient communications through the electronic health record (APEX).
• Collaborate with members of the practice team to coordinate patient care.
• Coordinate care and assist in resolving patient care issues.
• Schedule complex procedures and coordinate patient services at check-out.
• Maintain fax folders and upload documents to patient records.
• Prepare patient letters and forms, including disability and work-related documentation.
• Manage external genomic testing workflows.
• Complete referrals as ordered by providers.
• Obtain insurance authorizations for medications, procedures, and film or slide reviews.
• Assist clinical staff with preparing and sending patient communications.
• Demonstrate professional and courteous telephone communication.
• Answer phones for clinical practice teams.

Additional Responsibilities

• Participate in quality improvement and customer service initiatives.
• Offer suggestions to improve clinic and practice operations.
• Assist patients with concerns using conflict management skills.
• Share relevant information and observations with members of the healthcare team.
• Perform other patient care-related duties as assigned.

Required Qualifications:

• Minimum of six months of recent experience as a Medical Assistant
• Excellent organizational skills with the ability to manage time, prioritize tasks, and maintain accurate records.
• Strong computer skills with the ability to efficiently use and troubleshoot standard software applications, including Microsoft Office and web-based platforms.
• Effective written and verbal communication skills.
• Ability to meet the physical requirements of the position.
• Flexibility to orient and work at all UCSF Health locations.
• Current American Heart Association CPR Certification.

Preferred Qualifications:

• Certification from an approved Medical Assistant program, or an equivalent combination of two years of training and experience.
• Experience with insurance verification, medical record data abstraction, or patient financial services.
• Bilingual or multilingual capability (Spanish, Cantonese, or Russian).
• Experience working in an ambulatory medical setting.
