Job Overview:
The Specialty Medication and Infusion Coordinator plays a key role in managing and coordinating all aspects of specialty medications and infusion therapies. This includes navigating insurance authorizations, communicating with patients and providers, and ensuring timely treatment delivery. The role also supports the medical assistant team in daily clinical functions and patient care.
Essential Duties & Responsibilities:
· Provides support for the medical assistant team which includes all functions of a medical assistant:
· Triages patients, updates medical histories, obtains vital signs, and documents on the history of present illness.
· Prepare clinical charts in advance; ensure all lab and diagnostic results are available.
· Handles all patients and provider messages, EMR documentation, and patient communication tasks daily.
· Coordinates care instructions including diagnostic prep, treatment plans, dietary recommendations, and test follow-up.
· Refills medications, processes prior authorizations, and communicates medication-related information.
· Perform procedures such as video capsule endoscopy (VCE) and phlebotomy.
· Ensures patient confidentiality and documentation accuracy in compliance with legal standards.
· Educates patients on their specialty medications and infusion therapy protocols as ordered by providers; addresses any patient questions or concerns.
· Coordinates with providers, medical assistants, and pharmacies to ensure proper documentation, authorization, and timely delivery of medications.
· Submits and tracks all prior authorizations and refill requests for specialty medications.
· Maintains accurate records of each active specialty medication case, including patient status, documentation, and updates.
· Acts as the main point of contact between the patient, provider, and specialty pharmacy throughout the authorization and scheduling process.
· Initiates enrollment in biologic nurse navigator and patient support programs, when applicable.
· Assist patients in enrolling in financial assistance programs for biologic therapies as needed.
· Maintains and updates spreadsheets to track patients currently on biologic or specialty therapies.
· Follows each open case to ensure prompt medication delivery and treatment initiation.

· Communicates directly with pharmacy reps, case managers, and financial assistance programs as necessary.
· Performs other duties as assigned by the Medical Assistant Supervisor, Director of Clinical Operations, or management team
· Ability to travel to other locations as needed.
· Must be open to cross training and learning other areas as needed
