Central Oregon Pediatric Associates (COPA) of Bend, Oregon, the largest pediatric practice in the region, is hiring a full-time Medical Assistant Team Lead.
At COPA, the Medical Assistant Team Lead plays an integral role serving patients at our friendly and welcoming medical clinic for children of all ages. The Pediatric Medical Assistant Team Lead provides in-person clinical operations support 5-days per week at assigned clinic locations. The Medical Assistant Team Lead models and supports COPA’s mission, vision, and values and holds other Clinical Operations team members accountable to the Clinical Operations expectations and standards. The Medical Assistant Team Lead performs additional responsibilities beyond the CMA role including On-Call staffing, team member performance tracking and maintenance, medical equipment and supply inventory, time and attendance maintenance, orients and precepts new hires, assists with CMA schedule and maintenance, and vaccine storage and handling procedures. The CMA TL works to streamline the clinical flow and create a positive patient and family experience throughout the clinic and works closely with and under the direct supervision of the physician when filling CMA shifts.
The role of the Medical Assistant Team Lead will include but is not limited to the following duties:
ESSENTIAL DUTIES AND FUNCTIONS:
CLINICAL OPERATION TEAM MEMBER RESPONSIBILITIES:
- Maintains an in-depth knowledge of principles, practices, standards, and techniques and demonstrates knowledge in accordance with COPA policies and procedures.
- Escorts patients to exam rooms while collecting patient history and vital signs.
- Conducts screening tests and other screening tools, grading them as appropriate.
- Provides necessary medical information at time of visit.
- Demonstrates thorough, concise, and timely documentation in the patient’s medical record related to the care rendered and the patient’s response to that care and in accordance with department and organizational guidelines.
- Ability to accurately forecast and administer pediatric immunizations.
- Demonstrates EHR efficiency and knowledge.
- Demonstrates ability to plan, organize and prioritize care effectively.
- Performs appropriate treatments as ordered by the physician in an accurate and timely manner.
- Calculates safe medication doses and administers medications following the Seven Medication Rights.
- Assists in the monitoring, procurement and proper inventory of supplies and equipment.
- Assists with procedures and prepares and sterilizes instruments between procedures.
- Maintains own clinical skills staying current in skills, equipment, and trends in nursing.
- Assists physician with answering phone requests from patients and or other medical professionals, traveling between locations as required.
- Provides phlebotomy services for the patients and families.
- Follows up on orders and outstanding orders for the physician.
- Assists in the orientation of new personnel and student practicums.
- Assists in providing support and staffing coverage to all physicians and providers at COPA.
- Assists the clinical team by effectively working in the resource staffing position.
- Performs other related work as directed by immediate supervisor.
- Performs patient care during the scheduled shift hours.
TEAM LEAD RESPONSIBILITIES:
- Coordinates medical equipment, supply, and medication inventory.
- Assists is creating monthly schedule, daily schedule changes, PTO requests and updates daily staffing sheet for all clinics.
- Time and attendance maintenance for the Clinical Operations team.
- Provides clinical support to team members as needed, and acts as a resource to ensure break coverage is provided for all staff.
- Acts as a staffing resource if an open provider shift occurs.
- Assists with documentation auditing, clinical duties tracking, and outstanding lab tracking quarterly.
- Provides regular updates to manager, discusses issues, recommends solutions for improvement when challenges or opportunities arise.
- Contributes and participates in regular employee performance processes, and provides employees with priorities for improvement, coaching feedback, training, and guidance.
- Performs CDC COVID/Flu / RSV Reporting.
- Completes clinical duties at each assigned clinic location, traveling between locations as required.
- Supports staff with Lab Error Log and In-basket communication.
- Is responsible to provide support to Clinical Operations Team and Vaccine Alarm coverage during scheduled on-call shift.
- Vaccine Management at assigned clinics: maintain monthly borrow logs, yearly fridge calibration and monitoring systems.
- Performs other duties as assigned.
Qualifications
Education and Certification:
- Education: Graduate of an accredited Medical Assistant, EMT or Nursing program required.
- Medical Assistant Certification: Current Certification required from a nationally recognized organization such as the American Association of Medical Assistants (AAMA), The National Center for Competency Testing (NCCT), The National Association for Health Professionals (NAHP) Certification, National Healthcareer Association (NHA), American Allied Health (AAH), American Medical Technologies (AMT) or licensure as an intermediate or paramedic level EMT, Oregon LPN, or Oregon RN.
- MA may be eligible to be recognized for additional certifications; secondary certifications must be in addition to MA and may include: OHA HCI Qualified or Certified Interpreter, AAPC-CPC and select NCCT or NHA Phlebotomy certifications. Other: Current CPR for Healthcare Provider required.
Experience:
- 1 year of medical assisting experience required. Pediatric experience preferred.
- Epic EMR experience preferred. Proficient with Microsoft Office Suite.
- Bilingual in Spanish and English a plus.
Physical Requirements:
- Use of clear and audible speaking voice and the ability to hear normal speech level in person, over the telephone or through use of other required technology. Sitting or standing for long periods of time. Frequent repetitive motion includes computer keyboard use, reaching with hands and arms, and walking. Occasional lifting and or moving up to 30 pounds and on rare occasion up to 50 pounds. Specific vision abilities required include viewing computer monitor for long periods of time, close vision, distance vision, color vision, peripheral vision, and depth perception.
- Must be able to wear appropriate personal protective equipment (PPE) as required.
Working Conditions:
- Work inside in a general medical office setting with ergonomically configured equipment.
- The employee is subject to hazards including a variety of physical conditions such as proximity to mechanical parts and chemicals including odors. The employee has been identified as having the likelihood of occupational exposure to blood and other potentially infectious materials, therefore are included in the OSHA Exposure Control Plan with specification for preventing contact with the above materials.
- Travel between COPA clinics and business office as required.
