Job Description - Medical Case Administrator, Specialist (Level III) - Occupational Health FBI

Leidos QTC Health Services is seeking a Medical Case Administrator, Specialist (MCA-III) on our Occupational Health - Federal Bureau of Investigation (FBI) team team.  Working under limited supervision, the Medical Case Administrator performs a variety of routine and non-routine customer support activities in support of a specific project/business/technical unit.  Responsible for scheduling appointments, uses software for functional area to schedule appointments and document in the case management systems, and delivers exceptional customer service at all customer touch points.  Provides quality assurance and review of reports for accuracy per established guidelines.


Primary Responsibilities:



  • Accept, triage and process referred cases from clients via phone, email and/or faxes received, may require general research and analysis

  • Schedule claimant appointments including follow-up, and rescheduled appointments, and utilize map applications to ensure scheduling per contract and company guidelines

  • Enter appointment information, notes, and appropriate CPT codes into case management systems

  • Ensure all examinees and providers receive necessary documentation

  • Confirm all consultative reports and diagnostic test results are received and uploaded in the case management system in a timely manner

  • Provide quality assurance and careful review of examination reports to ensure reports are complete, clear and consistent

  • Meet or exceed contract timeliness guidelines in both scheduling and case management systems

  • May help lead/mentor lower level peers in regards to standard workflows

  • Perform other duties and responsibilities as assigned


Required Qualifications:



  • High School diploma, or equivalent (GED)

  • 3 to 5 years of experience with electronic medical scheduling and/or case management software

  • Must be able to pass a federal background check and/or obtain and maintain additional clearances as specified by the contract (e.g., NACI, PIV, SMS, TMS)


Preferred Qualifications:



  • Strong knowledge and understanding of medical terminology preferred

  • Experience with electronic medical scheduling and case management software

  • Strong ability to effectively manage competing priorities in a fast-paced environment, and superior follow-through skills

  • Must be self-motivated, and possess exceptional interpersonal and organizational skills

  • Strong ability to work independently and in a team-oriented work environment

  • Excellent attention to detail and proven understanding of general and technical aspects of workflow

  • Possess excellent verbal and written communication skills

  • Excellent customer service skills with ability to critically evaluate and resolve common and complex problems

  • Detail-oriented and possess the ability to effectively plan, prioritize, and organize their work

  • Excellent computer skills including MS Office Suite

  • Basic leadership skills

  • Training ONSITE4 to 6 weeks

    • Training Shift: Monday - Friday 8:00 AM - 4:30 PM Pacific Time



  • Regular Shift ONSITE: Monday - Friday 8:00 AM - 4:30 PM Pacific Time (following completion of training)

This role may fall under the Service Contract Act (SCA), a federal law which provides for a U.S. Department of Labor-prescribed minimum prevailing rate of pay and certain benefit levels.
