Job Summary

The Medical Office Associate, Practice Coordinator provides administrative and operational support to Heart Success Practice Operations leadership and departmental teams. This role assists with reporting activities, meeting coordination, scheduling, onboarding support, recruitment administration, and departmental communications. The position helps maintain efficient daily operations while supporting organizational initiatives.

Location: Atlantic Health Morristown Medical Center

Days/Shift: Monday- Friday, 8:00 AM - 4:00 PM/ 8:30 AM- 4:30 PM

Administrative and Reporting Support

  • Assist with the preparation and distribution of operational reports, scorecards, and departmental metrics.
  • Compile data from various systems and prepare basic summaries for leadership review.
  • Maintain departmental files, documents, and reporting records.
  • Support patient experience reporting activities by tracking survey results.
  • Prepare presentations, spreadsheets, and administrative reports as requested.

Operational Support

  • Provide administrative support for departmental projects and operational initiatives.
  • Assist leadership with special projects and departmental priorities.
  • Maintain departmental calendars, provide support with provider and coverage schedules.

Meetings, Recruitment, and Training Support

  • Schedule meetings, reserve meeting space, prepare agendas, and document meeting minutes.
  • Support the coordination of Shared Governance meetings, educational programs, Lunch and Learn sessions, and departmental events.
  • Assist with recruitment activities, including scheduling interviews and coordinating candidate communications.
  • Support onboarding activities by preparing orientation materials and coordinating training schedules for new hires.
  • Maintain training records and assist with distributing educational materials.

Compliance and Documentation

  • Maintain department records and support documentation related to regulatory and compliance activities.
  • Assist leadership with organizing materials needed for audits, surveys, and accreditation reviews.
  • Ensure files and documentation are current and organized.
  • Support compliance with departmental policies and procedures.


Qualifications

Education

  • Associates degree.  

Experience

*Required

  • 2 years of experience in a medical office, healthcare administration, scheduling, customer service, or administrative support role.

*Preferred

  • Experience supporting operational activities in a healthcare setting.
  • Experience using reporting tools and Microsoft Office applications.
  • Experience coordinating meetings, onboarding, or training activities.

Knowledge, Skills, and Abilities

  • Proficiency in Microsoft Office Suite, Outlook, Teams, and SharePoint.
  • Strong organizational and time-management skills.
  • Ability to prioritize multiple assignments.
  • Strong interpersonal, written, and verbal communication skills.
  • Attention to detail and accuracy in documentation and record keeping.
  • Ability to maintain confidentiality and exercise sound judgment.
  • Basic problem-solving and critical-thinking skills.
  • Ability to work independently and collaboratively with interdisciplinary teams.
  • Experience in a hospital, physician practice, ambulatory care, or healthcare setting preferred.
