Job Description - Medical Office Coordinator


Job Summary
We are seeking a proactive and highly organized Medical Office Coordinator to manage the day-to-day operations of a satellite facility and handle all front desk responsibilities. This position requires an individual who is detail-oriented, professional, and adaptable. The ideal candidate will be responsible for overseeing facility operations, managing employee time, conducting performance reviews, coordinating maintenance, ordering supplies, and delivering excellent customer service as the primary point of contact for patients and visitors.
Key Responsibilities
Front Desk Reception
  • Serve as the primary point of contact for patients, visitors, and vendors at the front desk.
  • Greet patients warmly, check them in and out, and answer incoming phone calls courteously and professionally.
  • Schedule, confirm, and reschedule patient appointments, maintaining accurate records in the scheduling system.
  • Collect and verify patient insurance information and ensure completion of required documentation.
  • Handle patient inquiries and resolve issues or route them appropriately to clinical or administrative staff.
  • Manage incoming and outgoing mail, faxes, and other communications
  • Maintain a clean and organized reception area that reflects the facility’s commitment to professionalism and care.
Employee Time Management
  • Oversee employee time tracking, including attendance, shift schedules, and hours worked.
  • Ensure accurate recording of employee time and address any discrepancies promptly.
Bi-Weekly or Monthly One-on-One Meetings
  • Conduct one-on-one meetings with team members to review Key Performance Indicators (KPIs) and individual performance.
  • Provide constructive feedback, coaching, and goal-setting to help employees meet and exceed their performance targets.
Supply Ordering
  • Maintain inventory of necessary supplies and materials, ensuring that all departments are stocked and prepared for daily operations.
  • Coordinate the ordering and restocking of office supplies, equipment, and maintenance materials as needed.
  • Track supply usage and work within budget to minimize waste and manage costs.
Maintenance and Repair Issues
  • Manage and prioritize facility maintenance and repair requests, ensuring timely resolution of issues.
  • Coordinate with external vendors and contractors for building repairs, maintenance, and inspections.
  • Conduct regular facility inspections to identify potential issues or areas in need of improvement.
  • Ensure compliance with health and safety regulations, and proactively address any concerns related to facility conditions.
Health and Safety Compliance
  • Ensure the facility meets all safety standards and regulations, including workplace safety protocols, emergency procedures, and environmental health requirements.
  • Monitor and enforce health and safety compliance for all staff members and contractors.
Qualifications
  • High school diploma or equivalent required; associate’s or bachelor’s degree in healthcare administration or related field preferred.
  • 3+ years of experience in medical office administration or front desk roles.
  • Strong organizational, time management, and multitasking skills.
  • Excellent verbal and written communication skills.
  • Proficiency with electronic medical record (EMR) systems, Microsoft Office Suite, and general office equipment.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Strong interpersonal skills with a focus on customer service.
