Job Description - Medical Receptionist

JOB TITLE: Medical Receptionist






GENERAL SUMMARY OF DUTIES:



The medical receptionist is responsible for day-to-day administrative and clerical functions as they relate to the operation of the front desk.  The medical receptionist is also responsible for daily batch closing, balancing, and working with the billing company.



ESSENTIAL FUNCTIONS:




  • Creates a welcoming atmosphere by greeting and attending to patients both in person, by email, and over the phone, determining their needs. 

  • Secures accurate insurance and demographic information from the patient and enters that information and records into the electronic medical record system in a timely manner. 

  • Handles all incoming telephone calls and schedules appointments, providing routine and non-medical instructions in preparation for the patient's visit to the practice.

  • Comforts patients by answering any questions they may have and providing information in-person or over the telephone within the limits of knowledge and medical practices policies.

  • Assists in obtaining referrals and scheduling ancillary testing for patients being sent to other offices when needed.

  • Verifies insurance eligibility and benefits as necessary.

  • Takes and relays messages to staff and keeps medical staff abreast of scheduling, patient details, and potential service delays.

  • Maintains medical record database to ensure patient information is kept up to date, files reports, and other documentation into EMR

  • Provides patient information to other doctor offices after proper authorization has been obtained.

  • Collect patient copayments and record payment transactions, and communicate outstanding balances to patients.

  • Reviews accounts of patients being seen the next day and notifies patients if payment is due. Closes and balances at the end of the day.

  • Post daily over-the-counter charges and any payments received into the office.

  • Maintains patient confidence by completing and safeguarding medical records, completing diagnostic and procedure coding, and keeping patient information confidential.

  • Helps maintain office inventory and may place orders for office supplies and schedule service for office equipment repairs.

  • Maintains a clean and orderly waiting area.

  • Performs other duties as required.



EDUCATION: 



High school diploma or GED



EXPERIENCE: 



Minimum of one year of experience as a medical office receptionist in a fast-paced clinic, hospital, or similar healthcare setting.


KNOWLEDGE: 




  • Mandatory familiarity with HIPAA

  • Knowledge of reception tasks, clinic policies/procedures, and paperwork. 

  • Knowledge of medical terminology.

  • Knowledge of the insurance industry.

  • Knowledge of the healthcare field.

  • Knowledge of how to use office equipment, including phone and computer.

  • Knowledge of customer service concepts and techniques.


SKILLS: 




  • Skills in using computer programs and applications, including electronic medical record systems. 

  • Skill in performing tasks appropriately.

  • Skill in tact and diplomacy in interpersonal interactions.

  • Skill in understanding patient education needs by effectively sharing information with patients and families.

  • Excellent customer service skills. 


ABILITIES: 




  • Ability to read, understand, and follow oral and written instructions.

  • Ability to sort and file materials correctly by alphabetical or numeric systems.

  • Ability to communicate clearly and concisely

  • Ability to establish and maintain effective working relationships with patients, employees, and the public.

  • Ability to project a pleasant and professional image.

  • Ability to plan, prioritize, and complete delegated tasks.


ENVIRONMENTAL/WORKING CONDITIONS: 




Work is performed in an office environment and involves frequent contact with staff, patients, and the public.  



PHYSICAL/MENTAL DEMANDS: 



Physical demands include sitting for seven to eight hours/day. The job requires eye-hand coordination and finger dexterity.  Must be able to view computer screens for long periods. Must be able to have face-to-face conversations with patients and staff—occasional stress related to workload and customers with problems.
