The Medical Records Coordinator is responsible for accurately maintaining and organizing all patient-related data in medical records. This role ensures compliance with regulatory standards and supports the business office in billing and quality assurance activities.
QUALIFICATIONS
Education: High School Diploma or GED
Knowledge of business office procedures, including basic accounting.
Proficiency in operating computers and basic office equipment.
Ability to operate a multi-line telephone system.
Strong telephone communication skills, with a pleasant and helpful demeanor.
Ability to read, understand, and follow oral and written instructions.
Strong organizational skills and attention to detail.
Ability to establish and maintain effective working relationships with patients, employees, and the public.
Requirements
RESPONSIBILITIES
Ensure all patient-related data is accurately filed in patient medical records.
Send, receive, and verify signatures on all orders, plans of care, and face-to-face forms.
Maintain accuracy in medical record filing within patient charts.
Manage billing for the Personal Care program, including invoice submission to LTC insurance companies.
Participate and assist in quality assurance meetings to ensure program compliance.
Report clerical team error rates related to order submission delays to the Reimbursement Manager.
Verify required data weekly before episodic billing.
Assist with special projects within the Reimbursement department.
Participate in educational activities and attend monthly staff meetings.
Conduct self in accordance with the employee manual and adhere to HIPAA guidelines.
WORKING ENVIRONMENT
Works in a normal office environment; occasional overtime may be required, and hours may vary based on business needs.
JOB RELATIONSHIPS
Reports to: Business Office Manager
RISK EXPOSURE
Low to moderate, associated with office duties and handling sensitive data.
LIFTING REQUIREMENTS
This role requires sitting and standing associated with a standard office environment. Occasional lifting of up to 20 pounds may be required for handling files, office supplies, and other materials as necessary.
