Job Description - Medical Records Specialist


 Purpose: The Medical Records Specialist assists the Medical Records Manager in the management of all clinical records and all archived organizational records in compliance with State and Federal regulations and laws AND promotes and supports quality assurance, quality improvement, compliance, and risk management initiatives across the Agency. 

Schedule: Full time, 40 hours/week, Monday-Friday from 8am-5pm with a 1 hour lunch break

Pay:  $14.52-$21.15/hour

  

Essential Duties and Responsibilities: 

  • Assists with monitoring, planning for and addressing long-term space needs and retrieval efficiencies re. Riverbend’s clinical records and organizational archives. 
  • Assists with managing purged clinical records and organizational archives in both paper and digital formats. 
  • Assists with ongoing management of the Agency’s paper records and digital archives.
  • Assists with responding to all internal and external requests for information on clients and/or for archived organizational records. 
  • Participates as a member of the QA Team and carries out other assigned QA projects aimed at process improvement and enhanced efficiencies.

Requirements

  

Education and/or Experience Requirements:

  • H.S. Diploma or equivalent required.
  • Two years’ experience in diversified office work preferred.
  • Medical records experience preferred.

  

Other knowledge, skills and abilities: Individuals must possess the knowledge, skills, and abilities necessary or be able to explain and demonstrate that they can perform the essential functions of the job, with or without reasonable accommodation, using some other combination of skills and abilities. Individuals must possess the necessary physical requirements, with or without the aid of mechanical devices, to safely perform the essential functions of the job.

  • Ability to read, write and perform basic arithmetic computations at a level normally acquired through completion of high school required.
  • Basic word processing skills are required.
  • Demonstrated ability to work with public required.
  • Excellent customer service and written and oral communication skills, both in person and by phone, are required.
  • The ability to handle sensitive information with the utmost confidentiality is required.
  • The ability to organize and prioritize numerous tasks and complete them under time constraints.
  • Requires the ability to plan and perform diversified duties requiring an extensive knowledge of a particular field and a wide range of procedures. Involves the exercise of judgment in the analysis of facts and conditions regarding individual problems to determine what actions should be taken, within the limits of standard practice.
  • The ability to work with frequent interruptions and respond appropriately to unexpected situations is required. 
  • Ability to operate calculator, computer, copy machine, and other office machines.

Physical Demands: The physical demands described are representative of those that must be met by an employee to safely and successfully perform the essential functions of the job.

  • Ability to exert up to 10 pounds of force occasionally to lift, carry, push, or otherwise move objects (e.g. lifting or moving files). Primary functions involve sitting most of the time. Walking and standing are required occasionally.
  • Visual acuity sufficient for work which deals largely with computer terminal operations, extensive reading and visual inspection involving small print.
  • The employee must have the ability  to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards.

Travel: Travel to other locations for meetings necessitated by job duties may be required.
