Job Description - Medical Records Technician

Summary:


The Medical Records Technician is the resource person for both the patients and clinicians of Marin City Health and Wellness Center.  He/She checks patients’ insurance eligibility, gets prior insurance authorization, ensures that patient referrals are processed and managed, and scans and maintains patients’ medical records in the EHR.  The MRRC also works closely with clinicians to coordinate patient care with other healthcare offices, hospitals, agencies and programs.


 


Essential Duties and Responsibilities: 



  • Maintains electronic patient health information.

  • Accurately captures patient demographics, insurance and structured data into the PM system with each patient encounter.

  • Obtains insurance authorizations.

  • Files paperwork and reports in patient EHR system ensuring they are completed in an accurate and timely manner.

  • Responsible for safeguarding patient records and ensuring compliance with HIPAA standards.

  • Responds to requests for patient records, both within the facility and by external sources, retrieving them and transmitting them appropriately per the MCHWC Medical Records Policy

  • Answers calls professionally and in a timely manner and returns calls appropriately.

  • Performs a variety of miscellaneous clerical tasks as time permits.

  • Provides back up to front and back office operations including scheduling, registration and posting of encounter data.

  • Provides administrative support to key management staff.



  • Ensures superior customer service to patients, including problem resolution.

  • Maintains exemplary punctuality and reliable attendance.

  • Performs other duties as directed, developed or assigned.

Qualification Requirements:


 


Education and/or Experience:



  • 3-5 years experience in administrative work in a health care environment.

  • Ability to work independently with little or no supervision.

  • Proficient in Microsoft Word, PowerPoint, Excel, and Outlook.

  • Familiar with access of PHC programs including Medi-Cal, CHDP, CPSP, Presumptive Eligibility, Family Pact, Sliding Fee Scales and commercial Insurance plans.



  • Experience providing strong customer service.

  • Basic working knowledge of insurance coverage claims submission and preauthorization process.

  • Sensitivity to the needs and situation of multi-cultural population from a variety of income levels.

  • Excellent attention to detail.



  • Ability to communicate effectively in person, on the telephone, and in writing.



  • Must possess excellent organization, writing, and verbal skills.

  • English proficiency required; Spanish proficiency preferred.



  • Ability to recognize problems, collect data, and establish facts.



  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


 


Equipment/Machinery: Fax machine, copier, personal computer, telephone, calculator, Microsoft Word/Excel, EHR system, and other software as required.

  • Stand and walk or sit alternatively depending on specific needs of day. Estimate 20% of time is spent on feet and 80% sitting at desk.


  • Have occasional need to perform the following physical activities: bend/stoop/squat, climb stairs, push or pull, reach above shoulders.


  • Have occasional need to perform standing and walking activities.


  • Constant need to perform the following physical activities: writing/typing, grasping/turning, finger dexterity.


  • Lifting/carrying over 10 pounds occasionally. Lifting/carrying less than 10 pounds frequently.


  • Vision requirements: constant need to complete forms, read reports, view computer screen.  Frequent need to see small detail.  Frequent need to see things clearly beyond arm's reach.


  • Hearing requirements: constant need to communicate over telephone and in person.


 


Travel Requirements:  Minimal need to utilize personal transportation to attend meetings and/or trainings.


 


Work Environment:


The noise level in the work environment is usually moderate.
