Carroll Counseling Center is a premier outpatient mental health clinic that supports work-life balance and professional growth and development within an excellent working environment. We seek a Full-time Medical Support Staff member for our Eldersburg, Maryland location.

The Medical Support Staff will help support all medical prescribing providers in improving the time of service collection of prescription refills and scheduling reoccurring appointments to help reduce patients running out of necessary medications and going through withdrawals or side effects. Employees will also be a direct go-to for prescribers when patients need prescription authorizations or medical records. Back up to the front office will also be a key factor as time of service collections, Patient AR, Provider note completion, and questions regarding accounts are essential to ensuring patient care is 100%.

Schedule: Monday - Friday, 9:00 am - 5:30 pm

Compensation: $20.00 - $24.00 per hour

Requirements:

  • High School Diploma or G.E.D required
  • Prior experience working in a medical or behavioral health office is highly desirable
  • Effective communication skills, explicitly exhibiting empathy when interacting with patients over the phone
  • Proficiency with Microsoft Office products, including Outlook, Word, Excel, Teams, etc.
  • Basic understanding of office equipment

Beneficial Skills & Experience:

  • Ability to Record all patient demographic and insurance information as well as eligibility and benefit checks
  • Manage the front end of the office, including patient collections
  • Answering patient/billing/insurance questions
  • Making sure client charts are up-to-date and State compliant
  • Ensuring our office is HIPPA-compliant
  • Promptly answer incoming phone calls, return phone calls, and respond to incoming fax referral requests from Co-Located Practices with the ability to schedule appointments for multiple providers accordingly
  • Routinely retrieves messages from appropriate voicemail boxes and returns phone calls within 24 hours and recognizes and responds appropriately to urgent/emergent situations per protocols
  • Remain current on all Clinical updates
  • Support Co-located Behavioral Health providers by providing individual support to assigned medical practices
  • Other duties as assigned by Support staff leadership include the Operations Manager
  • Transfers calls to physicians and clinical staff when medically necessary
  • Ability to check in – check out patients within a timely fashion
  • Scans / Enters information into the EMR and general faxing and copying of patient information
  • Process Release of Information (ROI) and incoming Medical Records requests in a timely fashion
  • Process Medication Refills and Prior authorizations and call pharmacies regarding medication corrections and clarifications as needed
  • Maintain Medication sample cabinet
  • Communicate and schedule with drug representatives as needed/directed by providers.
  • Demonstrate knowledge of 3rd party payor requirements and collect health insurance information
  • Enter lab orders, including ICD-10 codes, and process incoming lab results for provider review
  • Support / Manage providers with scheduling and status checks on patients as requested
  • Accept change positively and professionally and lead others by example
  • Establish and maintain effective working relationships with providers, staff, patients, and management
  • Perform other duties as assigned by management
  • Occasional travel between Carroll and Columbia offices for meetings and staff coverage
